Receptionist/Hospitality Coordinator

Summary

A leading national law firm is seeking a Receptionist/Hospitality Coordinator for our Nashville office, this is an in-office role.

Responsibilities

  • Answer phones at the reception desk
  • Greeting and assisting all guests of the Nashville office
  • Take messages and transfer calls
  • Schedule conference rooms and order catering for monthly meetings. Review Meeting Room Manager and / or other technology every 30 minutes (at a minimum) to ensure conference rooms are set up appropriately.
  • Work with couriers to receive and forward deliveries
  • Assist with large mailing projects
  • Handle beverage service for clients, guests and department meetings, including set-up, regular refreshing of hospitality items, and clean-up.
  • Place orders for food for internal meetings, including department/practice group meetings.
  • Provide support to marketing for firm/marketing sponsored functions, including special after-hours events (i.e. set up, clean up, caterer coordination/access, etc.).
  • Ensure all conference rooms, reception areas, visiting attorney offices, kitchens, restrooms, and other common areas are consistently clean and organized.
  • Maintain proper supplies in kitchens, galleys, coffee areas, conference rooms and lobbies where appropriate.
  • Collaborate and partner with the Regional Marketing Coordinator and Office Administrator in the planning, set up, and execution of office events, including vendor and catering communication, AV set-up, and all other tasks required of the event.
  • Provide assistance to other Legal Administrative Assistants and administrative departments upon request, as time permits; specifically typing correspondence and submitting expenses.
  • Provide back up assistance to Office Services
  • Attend staff and other administrative related meetings as requested for the Office Administrator
  • Other duties as assigned

Requirements

  • Must dress in a professional manner and always maintain a professional demeanor.
  • Must speak clearly and use good grammar.
  • Must be able to work in a multi-tasked environment.
  • Proficient in Microsoft Outlook and Word
  • All matters relating to client names, client matters, firm operations, or finances are completely
  • College degree, preferred.

Compensation: Up to $65000.00, annually plus overtime.
