Summary

Provide superior, concierge-level customer service to clients, visitors and staff.

Schedule: Monday – Friday 12:00 p.m. – 8:00 p.m.

Responsibilities

  • Ability to provide superior, concierge-level customer service at all times to both internal and external clients.
  • Operate multi-line telephone system; screen and direct calls to appropriate parties.
  • Take accurate telephone messages and deliver messages promptly via email or voicemail, as directed by attorney instructions.
  • Rotate between Reception floors in order to provide lunch and break coverages for Reception Team members.
  • Schedule conference room reservations, and changes as necessary, including disseminating special requests to Catering, Information Technology, Audio Visual, and Office Services staff, to ensure all requests are handled accurately and in a timely manner.
  • Maintain knowledge of Firm-wide meetings and events in order to properly direct attendees in a timely manner to meeting location.
  • Assist staff and clients with all requests, including car and travel reservations.
  • Meet and Greet visitors entering the Firm and direct them to scheduled conference room or other location.
  • Handle conference call requests accurately and in a timely manner.
  • Perform conference room checks to ensure reservation requests are met prior to scheduled meetings.
  • Maintain a polished appearance of the Reception area at all times.
  • Generate conference room reports and perform conference room checks.
  • Must be flexible and available to work overtime during the day, at night, on weekends, and, on rare occasions, overnight, as well as cover on holidays and be part of a weekend rotation schedule.

Qualifications

  • Bachelor’s degree preferred; High Diploma and four years of experience (required)
  • Minimum two years’ reception or customer service experience in legal, corporate or hospitality industry environment.
  • Knowledge of Cisco phone system, Rendezvous reservation system, and Akkadian Console app is a plus.
  • Excellent written and oral communication skills.

Compensation

The expected base salary range for this role is $60,000 (nonexempt). The base salary offer is based on a variety of factors which includes, but not limited to, qualifications, education and experience.
