Litigation Services Coordinator

Summary
The Litigation Services Coordinator is an integral part of the Firm’s Litigation Services team and will be responsible for performing and coordinating, with minimal supervision, one or more major functions of the Litigation Services Department, while acting as a resource regarding all types of calendaring and court rule questions for Litigation Services staff, attorneys, and other users, both in the office and throughout the firm. This role will be located in the Firm’s Washington, D.C. office. Please note that this role may be eligible for a flexible working schedule that allows for a hybrid and in-office presence.

Responsibilities
• Coordinating calendaring and related court rule questions for Litigation Services staff, attorneys, and other users, both in the office and throughout the firm, including manifesting expert knowledge of the department’s calendaring program (currently CompuLaw) and standards, ensuring data accuracy and integrity in calendar entries, generating and proofing reports, assisting with docket-related issues, attorney additions and removals, and performing quality checks in the calendaring software
• Coordinating all facets of the court services functions of the department, which can include the review of court and agency filings before they are delivered, proofreading and cite-checking, service of process and subpoenas, processing correct fees, court rules updates, court and litigation forms, selection and use of attorney services companies, and transmitting the filings to courts and agencies
• Maintaining familiarity with e-filing procedures in all courts relevant for the office’s litigation practice; arranging for e-filing training for Litigation Services staff and attorneys, and participating in the e-filing process at the request of attorneys
• Coordinating the pleadings, indexing, and record keeping processes of the office, which can include scanning and indexing active pleadings, monitoring court databases for updated actions, maintaining a physical file collection of pleadings and other litigation documents, and preparing the files for the firm’s records retention procedures; Manifesting an expert knowledge of the firm’s pleading clip program and contributing to its maintenance and improvement
• Coordinating the court and bar admissions for the office, coordinating communications to attorneys and secretaries, coordinating the data collection and verification process, and establishing workflows for addressing incoming and departing attorneys’ admissions; contributing to improvements in the firm’s bar admissions oversight processes and databases
• Developing and administering training programs for Litigation Services staff and other users of Litigation Services Department resources; providing mentoring for junior Litigation Services staff in other offices
• Protecting and maintaining any highly sensitive, confidential, privileged, financial, and/or proprietary information that the Firm retains

Qualifications
• A bachelor’s degree; a minimum of four (4) years of experience may be considered in lieu of a degree
• A minimum of four (4) years of relevant law firm or court experience; a J.D. or other relevant advanced degree may be considered in lieu of experience

• Possess prior experience with legal calendaring and docketing platforms (CompuLaw a plus)
• Possess well-developed and professional interpersonal skills; including the ability to effectively interface with attorneys, management, support staff, and outside contacts
• Demonstrate the ability to work in a team environment with a customer service focus
• Display advanced communication skills, both written and verbal

Compensation $70,000.00-$85,000.00, plus overtime and bonus, dependent on experience
