Legal Secretary

  • Performs legal secretarial duties to assigned attorneys in the New York office. Principal attorneys to whom you will be assigned are significant firm originators and therefore generate a considerable amount of billing each month.
  • Relationships
  • Works closely with assigned attorneys and administrative staff Interacts frequently with other departments.
  • Responsibilities
  • Manage, assess and provide initial editing of a high volume of invoice pro formas and coordinate with billing department on finalizing invoices. Communicate directly with clients regarding billing inquiries
  • Skillful at scheduling calls and appointments, “rolling calls,” good at handling clients
  • Format and edit documents and correspondence, engagement letters and opening new client matters
  • Client contact experience including phone communication, correspondence and appointments
  • Must be able to handle multiple tasks in a very fast-paced environment
  • Enter attorneys’ time and submit expenses
  • Perform other work duties as assigned
  • Provide backup secretarial assistance as needed and general support for ad hoc projects
  • Maintain calendars and remind attorneys of meetings and events

Skills and Requirements

  • Background in managing high volume of invoices and billing inquiries
  • Possess strong computer skills: MS Office Suite, specifically in Microsoft Excel and Microsoft Word, iManage, Nuance, ChangePro, Kofax and iTimekeep
  • Must possess strong interpersonal skills with a pro-active approach and sympathetic attitude in dealing with confidential matters


  • College degree (bachelors or associates)
  • 5+ years as an Executive Assistant or Legal Secretary
  • Excellent written and verbal communication skills
  • Professional presentation and demeanor
  • Possess enthusiasm, high energy and highly competent

Job Type: Full-time, Hybrid

Salary: $90,000.00-$100,00.00, plus overtime and bonus
