Legal Administrative Assistant

Summary

The Fort Lauderdale office of a premier, national, law firm has an immediate opening for a Legal Administrative Assistant in the Tax Credit Finance practice group. This is a fast-paced department where the assistant is truly the right hand to practice group leaders who are important players in the industry. The scope of work involves collaboration with attorneys, paralegals, clients, and other staff in the Fort Lauderdale office as well as other Firm offices around the country. For the first 90 days, in-office required 5 days a week, with team approval hybrid considered. 

Duties and Responsibilities

  • Support the business efforts of the practice group by handling multiple projects effectively; excellent communication skills and the ability to set priorities are essential
  • Process documents related to closings: prepare signature packets, assemble closing documents, draft post-closing documents, and file complex records
  • Draft and edit documents accurately with great attention to detail
  • Coordinate new client matters; collect and organize information and creating files
  • Assist attorney with client billing including time entry, drafting and generating cover letters, and working with Accounting department on invoices
  • Process vendor invoices and manage attorney expense reimbursement
  • Ensure accurate record keeping of complex electronic and physical records
  • Manage attorney calendars regarding scheduled closings and related deadlines
  • Coordinate tracking of CLE for attorneys
  • Other work as needed

  • Time entry (Carpe Diem)
  • Document Management system (iManage)
  • Records Management system (iRM iManage Records Manager)
  • Expenses (Chrome River)
  • New Business Intake and Conflicts (InTapp)
  • Time management system (UltiPro)
  • Microsoft programs (Word, HotDocs, Excel, Outlook)
  • College degree preferred
  • Other skills as needed

$85,000.00-$100,000.00, plus overtime and bonus.
