Human Resources Manager 

GENERAL SUMMARY

Under direction of the regional Director of Administration and the Director of Human Resources the Human Resources Manager performs a variety of recruiting and generalist duties, including the interviewing and selection of candidates, conducting new hire orientation, evaluating the workflow of legal administrative assistant pairings, performance evaluations, and employee discipline. Responsible for the coordination with Payroll and Benefits for the overall administration of salary information, administration and communication of information regarding the health, welfare, wellness and retirement plans.

ESSENTIAL DUTIES

  • Monitor and coordinate appropriate legal administrative assistant staffing ratios and workflow. Confer with attorneys, paralegals and legal administrative assistants regarding legal administrative assistants’ assignments, performance problems and need for additional training.
  • Manage all aspects of recruiting including posting positions to the Firm website, reviewing resumes, conducting & coordinating the interview process, processing background checks & references, testing, sending an offer letter and receiving final approval for hire.
  • Coordinate & conduct New Hire Orientation for legal and non-legal staff.
  • Works closely with the firm-wide Benefits Department in Atlanta to provide information to lawyers and staff in the New York Office and to ensure that benefit programs are administered in accordance with established procedure.
  • Conduct exit interviews/out processing for all attorneys and administrative staff.
  • Coordinate educational workshops with Human Resources Director, including dates, topics and the tracking of attendance.
  • As specialized educational programs are rolled out, select employees who will participate in programs and track student progress
  • Assist with the maintenance of the HR departmental procedures manual, supplying information relevant to procedures in your office.
  • Prepare, maintain and manage NYC HR office activities budget
  • Serve on various office and firm-wide committees as NYC HR representative
  • Manage staff in the following service departments: Legal Administrative Assistants, Resource Center and Reception.
  • Create and implement programming for monthly staff meetings.
  • Oversee various office social events throughout the year.
  • Serve as the office champion for Top Echelon service and TE Time participation.
  • Review summary and monthly census report for accuracy.
  • Manage the annual review process for the office.
  • Oversee the staff Merit Bonus program for the office in coordination with department managers.
  • Attend HR department meetings.
  • Assists with firm-wide projects as necessary.
  • Recognize potential legal issues (e.g. sexual harassment, discrimination, termination) and discuss with appropriate resources for direction and guidance.
  • Works closely with the firm-wide administrative Officers, Directors and Managers to ensure that firm-wide practices and procedures are followed.
  • Monitor and approve administrative overtime worked by legal administrative assistants, includes preparing monthly reports of overtime approved by timekeeper and discussions with legal administrative assistants on how to reduce the use of non-billable overtime.
  • Generate new hire, departure and change notifications for the New York office.
  • Oversee all new hire paperwork is complete & filled electronically then hard copies are processed appropriately.
  • Review and approve legal administrative assistants and staff time sheets. 

SKILLS NEEDED TO BE SUCCESSFUL

  • Bachelor’s degree in related field with at least 5 + years of HR experience or a combination of experience and education. Previous benefits experience of 1-3 years in a related environment.
  • Computer literacy in Word, Excel, PowerPoint and Access.
