Summary

The Human Resources Coordinator provides high-level administrative and project support to the Chief Human Resources Officer, the Director of Human Resources, and the Human Resources Manager. The HR Coordinator possesses superior administrative skills, handles personal contacts with finesse and diplomacy, and relieves management of many administrative tasks. This employee handles confidential information appropriately, follows up on the status of inquiries and assignments, and leads specific projects or initiatives.

Essential Job Requirements

Administrative-Leave Management

  • Under the guidance of the Director of HR, monitor and track FMLA and other available leave usage, ensuring compliance with leave entitlements and applicable state or federal requirements.
  • Develop an understanding of state and federal leave guidelines generally, including those in NY, NJ, CA, DC and UT, as well as other states to include remote employee locations.
  • Complete, process and track disability forms, FMLA and State leave correspondence; maintain complete and accurate records of leave requests in accordance with legal and firm requirements.
  • Track dates for all leaves, including disability, workers’ comp, parental leave, bar study leave, etc.
  • Maintain complete and accurate records of accommodation requests, including tracking start and end dates, where appropriate.

Administrative-General Operations

  • Assist with the maintenance of employee personnel/performance management files and retain accurate, up-to-date files and documentation, both electronically and on paper, as necessary.
  • Assist with various HR administrative tasks as needed, including updating new hire orientation materials, entering notes in Ethics Point, preparing Flexible Work Arrangement letters, and responding to employment verification requests.
  • Preparation of letters and other documents and correspondence, as necessary.
  • Extensive scheduling, including coordinating all logistics for larger meetings involving multiple attendees; responsible for the coordination of various leadership meetings such as the BSG Focal meetings, Operating Committee, HR Management and Department meetings, and social events, including meeting invites, agendas, loading content and managing access to the Boards application, room and catering logistics, and reminders.
  • Reconcile monthly HR-Operations AMEX bill.
  • Coordinate firm donations for employees’ family members and gifts of congratulations and well wishes for employees.
  • Preparation of expense reports.
  • Update recertification credit databases for SHRM and HRCI for CHRO, Director of HR and HR Manager.
  • Interact with internal and external clients to answer questions and resolve matters.

Systems/Reporting

  • Prepare monthly anniversary announcements for the firm’s monthly newsletter, including preparation of reports re: same.
  • Maintain the accuracy of information on the firm’s LSHub pages, including uploading content (such as the monthly firm newsletter) and other various documents, as needed.
  • Assists with auditing employee and system data to maintain its accuracy.
  • Serve as back-up for BSG performance evaluation set-up, coordination, and troubleshooting.
  • Prepares ad hoc reports, as requested.

Events/Programs

  • Handle all administrative components of the employee recognition program (WOW Award program), including scheduling WOW award meetings, ordering awards, etc.
  • Responsible for planning various HR Department celebrations, including Birthday celebrations and holiday parties, purchasing gifts, etc.
  • Assist with various events and firm initiatives, as requested.

Skills, Knowledge, and Abilities

  • Associate’s/Bachelor’s Degree preferred.
  • A minimum of two years of Human Resources experience required.
  • Knowledge of leave management law and requirements.
  • Excellent verbal and written communication and telephone skills.
  • Excellent organizational skills.
  • Proficiency with Microsoft Word, Excel and PowerPoint necessary; experience with Ceridian and/or other HRIS system(s) beneficial.
  • Exhibits resourcefulness, the ability to anticipate needs, takes initiative.
  • Demonstrated ability to coordinate and prioritize assignments to meet deadlines.
  • Demonstrates good judgment/decision making.

Schedule: Full-time, Monday through Friday, 9:00 AM – 5:00 PM
