Summary

The Human Resources Coordinator will provide assistance to the Human Resources Department in various administrative tasks and daily operations. This role requires a strong sense of confidentiality, exceptional organizational skills, and keen attention to detail, while effectively supporting Human Resources functions.

Essential Duties and Responsibilities

  • Ensure accurate data entry for new employees into HR systems (e.g. HRIS, Intranet, etc.) and maintain both electronic and physical employee personnel files.
  • Conduct regular audits of data entries to ensure data integrity and accuracy across systems, proactively identifying and correcting discrepancies.
  • Oversee the completion and verification of I-9 forms for all new hires, ensuring compliance with federal and state regulations and maintaining accurate records for audit purposes.
  • Prepare and provide reports on employee demographics, including but not limited to, monthly headcount and EEOC reports.
  • Maintain annual affirmations for Firm personnel, temporary employees, and consultants.
  • Coordinate and conduct the HR onboarding process for new hires, ensuring they complete all necessary forms and receive comprehensive information regarding Firm policies, procedures, and benefits.
  • Coordinate and ensure the execution of annual trainings, ensuring all Firm personnel complete required training.
  • Manage employee verifications in accordance with Firm policy.
  • Provide general backup support to the HR and Benefits teams.
  • Collaborate with other departments to address day-to-day HR requests.
  • Handle numerous administrative duties for the department, including managing staff appreciation gifts, flowers, and event logistics.
  • Handle confidential HR material with discretion and professionalism.
  • Provide support to the Legal Recruiting Department with HRIS systems.
  • Perform other administrative duties as assigned. 

Knowledge Skills and Abilities Required

  • Proficiency in using HRIS systems, preferably Workday.
  • Advanced proficiency in Microsoft Office Applications.
  • Strong attention to detail and accuracy.
  • Ability to organize, prioritize, and manage multiple tasks efficiently.
  • Strong interpersonal skills, with the ability to communicate with courtesy and tact across all stakeholders, vendors, and consultants.
  • Ability to work independently and collaboratively within a team.
  • Ability to troubleshoot issues and diplomatically address sensitive personnel matters with discretion and confidentiality.
  • Ability to work effectively in a fast-paced, high-pressure environment and perform well under tight deadlines.
  • Ability to quickly adapt to new technologies and systems.

Education and Experience

  • Bachelor’s degree in Human Resources, Business Administration or related field preferred.
  • Minimum 2-3 years of Human Resources experience in a law firm or professional services environment.

Working Conditions

  • Normal office environment with little exposure to excessive noise, dust, temperature, etc.

The firm provides competitive compensation and benefits to its employees, ensuring that they attract and retain the most talented individuals. The expected base salary for this role ranges from $80,000.00-$90,000.00, plus overtime and bonus. The base salary offer is based on a variety of factors which includes, but is not limited to, qualifications, education and experience.
