Summary

Our client seeks an experienced Docket Clerk to join their Managing Clerks Office in their New York office. The Docket Clerk is primarily responsible for assisting the Managing Clerk and the Assistant Managing Clerk with the total operation of the Managing Clerks Office.

Responsibilities

  • Docketing: Responsible for the accurate inputting, docketing, and adjourning of all state and federal courts related dates and any other court-imposed deadlines or other commitments that Firm attorneys need to be notified about via the firm-wide eDocket web calendar (i.e.: motion dates, conference dates, adjourned dates, court appearances, depositions, decisions, trial dates, appeal time deadlines etc).
    • this information generally comes from Court Notices/Decision received from Court or Attorneys, Court Notices/Pleadings from Litigation mail, NextGen CM/ECF or NYSCEF notices received from Court, e-mail from attorneys, Court filing done by MCO, and Court filing done by our adversaries
  • Opening new cases in eDocket whenever a New Matter email is sent out; a new complaint is filed by the Firm, local counsel, or an adversary; and as instructed by attorneys
  • Closing out cases in eDocket whenever a stipulation of discontinuance is filed, the attorney(s) on the case advises to close the case, and a Closed Case email is sent out
  • Docketing, scanning, and emailing attorneys re: litigation mail and legal pleadings sent to the firm via first class mail, fed ex or hand delivery
  • Monitoring, both manually and online, the following:
    • cases in SDNY, EDNY and other federal courts where we have actions pending via the various on-line programs that the Managing Clerks Office has for any new ECF filings, decisions/orders, conferences and downloading orders for docketing and then place them in the decision box
    • several large high-profile cases in the various state and federal courts
    • check daily for “case specific” parties in the various state and federal courts and setting up alerts via Westlaw, Etrac, Elaw, and other court monitoring programs
    • update judges individual rules or practice for SDNY and EDNY
  • Making Court Trips as needed including copying and retrieval of documents and the service and filing of papers within the various local state, federal and appellate courts for hard copy cases and attending “Calendar Calls” or deliver “Courtesy Copies” in Supreme NY when needed
  • Filing of documents via NYSCEF in the various e-filing State courts (i.e. appaellate, court of claims, criminal, family, NYC civil, supreme civil, surrogate, and town/village court) and via NextGen CM/ECF is the various e-filing 94 district courts and 12 courts of appeals
  • Calendar all dates and deadlines by 6pm on Fridays, including preparing and distributing all bi-weekly attorney calendar reports
  • Review the NYLJ “Court Notices” section for any new rules, updates, or changes in procedure
  • Keep abreast of rules and procedures of the various state and federal court judges as it pertains to motion practices and court procedures, including reviewing resources such as state and federal court handbooks and procedures
  • Coordinate with outside vendors for service of process and messenger companies for delivery and by-hand drop off to courts, accept service of process on behalf of the Firm when authorized, and occasional service of process in Manhattan
  • Develop a solid working knowledge of the CPLR, FRCP, FRAP, McKinney’s NY Rules of Court and the Local Rules for SDNY & EDNY
  • Provide Firm attorneys, paralegals, and support staff with procedural guidance regarding court rules, court practice, and court procedures of the various local State, Federal and Appellate courts and answer procedural questions and details of law pertaining to court procedures, practice and rules.
  • Interact one-on-one with partners and associates regarding case status; court rules, court practices, court procedures and in general to maintain a constant and open channel of communication.
  • Assist with the upkeep of various MCO charts and records regarding court admissions, NextGen CM/ECF and NYSECF login credentials, and setting up alerts for cases attorneys want to monitor

Qualifications

  • Minimum of 2 to 4 years of prior experience in the Managing Clerk’s office of a law firm, with specific experience in handling the docketing of dates and deadlines and electronic filings in litigation matters in the various State and Federal courts.
  • Familiarity with e-Docket or MA3000;
  • Experience with ECF and NYSCEF system;
  • Familiarity with Westlaw and PACERPRO;
  • Strong organizational and communication skills
  • Strong attention to detail with the ability to multitask in a high-pace environment
  • Excellent computer software and research skills
  • Team-oriented mindset and strong work ethic

Compensation

The position is based in our client’s New York City office which is currently following a hybrid schedule (3 days in-office), subject to change. This is a nonexempt position with a shift of 11:00am – 7:00pm with occasional overtime. The expected base salary range is $65,000-$95,000 and is dependent on experience.
