Summary

Guided by Firm goals and objectives and under limited direction of the Associate Director, Payroll, manages Payroll staff and the day-to-day payroll operations for the weekly, bi-weekly, semi-monthly, and monthly US and non-US payrolls, as well as off-cycle payrolls. Manages all activities directly related to the development, implementation, maintenance, and improvement of the Firm’s payroll function and systems, according to internal policy and industry standards.  Ensures Firm compliance with data privacy, IRS, FLSA, workers compensation, state, local, and agency regulations and reporting requirements, and equivalent international requirements.  Evaluates remote work requests for payroll and partnership tax impacts, provides guidance, and manages payroll implementation.  Ensures compliance with IRS, FLSA, workers compensation, state, local, and agency regulations and reporting requirements, and equivalent non-US country requirements.  Responsible for ensuring client satisfaction is achieved throughout all position responsibilities.

Responsibilities

  • Promote client service throughout department; ensure client service standards are set and achieved by team; provide coaching and mentoring to staff to ensure client service is accomplished individually and through teamwork.
  • Manage payroll operations for all offices and entities, ensuring integrity of payroll systems and payroll processes, and the timely, accurate delivery of pay to firm personnel. Advise Associate Director, Payroll of issues.
  • Provide strong and effective leadership across teams through collaboration, communication, problem solving, innovation, execution, and results.
  • Develop and maintain department procedures for confidentiality and protection of departmental information per Firm policy, GDPR, and CA and other relevant data privacy regulations. Ensure standards are adhered to by Payroll team.
  • Manage payroll compliance with applicable federal and state regulations, including registering with appropriate state taxing agencies to deposit payroll taxes in states where we do not maintain offices.
  • Manage internal and external audits for Retirement Plan, Workers Compensation, internal controls, German Wage and Social Security, etc. Ensure relevant procedures, work papers, and other supporting documents are maintained and up to date.
  • Manage complex payroll taxation arrangements for domestic and international remote work arrangements, business travelers, expats, secondments and inpats and ensure compliance with applicable federal, state and country regulations, including reporting and withholding for the applicable jurisdictions.

Qualifications

  • Degree in Accounting, Finance, Business, or related field and 10 years of global payroll experience. Equivalent work experience may be substituted for degree.
  • 8 years of experience managing, coaching, and developing a payroll team of 3 or more individuals is required.
  • Extensive and thorough knowledge of payroll and related federal, state, and local regulations, including wage and hour, remote work, HSA/FSA, PFL and sick pay.
  • Working knowledge in the preparation and filing of payroll tax and other requisite forms.
  • Working knowledge of international payroll administration and compliance requirements. (Europe – Germany, UK; Asia – Japan, Hong Kong, PRC, and Singapore)
  • Working knowledge of integrated, cross-functional business systems. Experience with Ascentis Payroll, WorkForce Software, and Workday HCM preferred.
  • APA Certified Payroll Professional (CPP) certification.
  • Knowledge of GDPR, California, and relevant data privacy requirements.
  • Highly ethical, analytical, team-oriented, flexible, inquisitive & logical.

Compensation and Benefits

$158,000 – $190,000, exempt. Additional compensation may include a discretionary bonus, health/welfare benefits, retirement contributions, paid holidays, and PTO. The range displayed is specifically for positions performed in those cities/states and may vary based on factors including but not limited to the following: local market data and ranges; an applicant’s skills and prior relevant experience; and certain degrees, licensing, and certifications.
