Diversity, Equity and Inclusion Coordinator

The Inclusion Group is charged with promoting diversity, equity and inclusion throughout the firm. The Inclusion Coordinator role reports to the Inclusion Director, but the ideal candidate will work cross-functionally within the Inclusion group as well as with other departments, including Finance, Business Development, Legal Personnel and others to drive outcomes. We are looking for someone who is comfortable juggling many different projects with excellent project management skills.

Responsibilities

  • Assisting the Inclusion Team in planning and scheduling all aspects of diversity-related programs and events.
  • Coordinating event details and logistics for Inclusion meetings, lunches, receptions, including registration, RSVP tracking, conference room/venue reservations, arrange video and teleconferencing support.
  • Helping to gather data, drafting responses and coordinating the submission of diversity-related industry benchmarking and client surveys.
  • Interacting with outside vendors and organizations on the facilitation of various diversity activities and projects.
  • Maintaining and updating an inclusion events calendar.
  • Assisting with the creation of D&I collateral materials.
  • Assisting with diversity conference registrations and sponsorships.
  • Assisting with recordkeeping and reporting.
  • Other tasks as assigned and/or requested by the Inclusion Team.

Requirements

  • Bachelor’s degree required.
  • Minimum 2 years’ experience of closely related experience and/or project management experience at a law firm, government agency, or professional services organization.
  • Experience working in a legal or other global professional services firm.
  • Diversity, Recruiting, Marketing, Professional Development, Legal Personnel or similar experience preferred.
  • Excellent writing, research and organizational skills, a detail-oriented and proactive approach to projects.
  • Excellent client-service orientation.
  • Good working knowledge of Microsoft Suite (Word, Excel, PowerPoint and Outlook).
  • Strong interpersonal skills to interact with attorneys and staff at all levels within a large law firm setting.
  • Demonstrated ability to deal with confidential and highly sensitive information.
  • Excellent oral and written communication skills.
  • The ability to work in a fast-paced environment.
  • Proven writing skills, detail-oriented, experience in event planning, coordinating meetings.
  • Strong quantitative skills.

Extent of Public Contact (Within and outside the Firm)

This position requires contact with individuals within the firm as follows:

  • a high degree of contact with departments across the firm.
  • a moderate to high degree of interaction with firm lawyers

This position requires contact with individuals outside the firm as follows:

  • a moderate degree of contact with vendors/suppliers and others in the event planning arena for special events.

Physical Demands

  • Must be able to work at a computer and telephone for extensive periods of time.
  • Must be able to routinely lift and carry files and other items up to 10 pounds; and
  • Must be able to function in a standard office environment.

Working Condition and Environment

  • Work is normally performed in a typical interior/office work environment.
  • Position is full-time and requires a five-day workweek and standard hours as outlined in the firm policy manual. Work may require more than the regularly scheduled hours per week to perform the essential duties of the position.
  • Must be available to work additional hours, including weekend hours, when necessary to meet established deadlines or stay current with occasional peaks in workload. Must be willing to change regular work schedule to meet the needs of the Firm.
  • Must be able to perform essential duties of the position with time constraints and frequent interruptions.
  • Ability to work well in high pressure environments.
