Alumni Relations and Career Services Assistant

Summary
This position is responsible for supporting the Department of Alumni Relations and Career Services in coordinating with all 16 offices and engaging the network of over 6,300 alumni worldwide as well as enhancing the career development of associates and alumni.
Responsibilities
Career Services Support
- Manage counseling data for associates and alumni
- Research and share opportunities at clients with appropriate senior lawyers and candidates
Alumni Event Planning Support
- Create and manage event-specific folders and track RSVPs
- Support individual follow up and communicate internally
- Share CLE approved materials, manage and record attestation forms and create/distribute CLE certificates
- Input post-event information into database
- Assist with event details including reserving space, reviewing nametags, working registration, etc.. (when in person)
Farewell Process
- Schedule and perform farewell chats with departing lawyers globally
- Organize associate farewell dinners (when back in person)
- Research potential venues with private rooms in NYC (when back in person)
- Track RSVPs, facilitate follow up, and potentially attend evening dinners (when back in person)
- Manage and regularly update 360wiki (when back in person)
Alumni Database Maintenance and Alumni Engagement Support
- Update alumni contact information and share relevant news internally
- Assist with contact information lookup an dissemination when requested
- Perform targeted alumni searches and pull lists of alumni for senior lawyers, business development and ARCS
- Maintain list of potential alumni speakers and potential interviewees
- Assist with alumni spotlights
Alumni Website and Social Media
- Create profiles for new alumni and update when needed
- Post content to alumni website including news, events, jobs and resources
- Coordinate with Marketing and Communications for production and dissemination of alumni spotlights
Budgetary Assistance
- Provide primary support in accurately recording and tracking departmental expenses
- Other duties and responsibilities as assigned
Qualifications
- Bachelor’s degree
- One to three years of experience (can include internship, externship or fellowship)
- Strong attention to detail
- Excellent computer, writing and communication skills
- Professional demeanor and emotional intelligence
- Discretion in handling sensitive material
- Creative approach to problem solving
- Excellent organizational skills
- Demonstrated initiative and critical thinking skills
- Ability to organize projects and to follow through to completion
- Ability to multitask
- Ability to work independently and as member of a team
- Familiarity with Microsoft Office Suite including Word, Excel, PowerPoint, SharePoint
- Flexibility to work overtime, especially for evening events
