Legal Administrative Assistant-Real Estate

Duties include, but are not limited to:

Paralegal responsibilities to include drafting legal documents including the preparation of Articles of Organization, Operating Agreements, Assignments of Membership Interests and organizational charts, comparing documents, establishing, converting, merging and dissolving entities and reviewing documents such as contracts, leases, amendments, loan documents, deeds, insurance certificates and title and survey ordering and review. Researching and reviewing various legal provisions in documents. Amassing and assembling due diligence materials.

Legal/Administrative secretarial support to include editing and redlining documents, compiling and organizing materials for closings, preparing closing statements and binders of documents, maintaining legal files and multiple schedules of properties, mortgages, sales, commercial leases, family transfers, promissory notes, loans and files.  Arranging for the execution and return of documents.

Executive/ Personal secretarial support to include correspondence, maintaining calendar and contacts,  making appointments, arranging conference calls and meetings, making travel arrangements, maintaining lists of bankers, attorneys, architects, engineers, and other related business personnel, ordering gifts, obtaining theater tickets, monitoring auctions and placing bids, writing speeches and personal correspondence, arranging business dinners and fraternity functions. Responsible for keeping track of day-to-day business affairs and troubleshooting internal and external issues as they arise. 

Office Managerial and Bookkeeping responsibilities to include ordering and maintaining all office equipment, computers and supplies.  Order office furniture and supervise office remodeling/painting.  Arrange and supervise office cleaning and maintenance.  Light bookkeeping to include maintaining several checking accounts and preparing checks, invoicing and tracking loan payments, paying bills, initiating and following wire transfers and transfers within accounts.

Skills Required

Microsoft Office (Word, Excel and Outlook); steno/dictation; excellent writing, language, spelling, proofreading and attention to detail; willingness to be flexible and available; strong organization and multi-tasking capabilities; proficiency in working independently and making decisions; adept in liaising with all individuals, maintaining confidentiality and exhibiting grace under pressure.
