Senior Trademark Docket Administrator

Summary

Under the direction of the Tech Group Administrative Director, the Senior Trademark Docket Administrator will be responsible for leading the Trademark and Copyright docketing functions including various administrative tasks to ensure that all critical deadlines are docketed and that all appropriate individuals are aware of such deadlines.

Essential Job Requirements

  • Maintain docketing database for US and foreign trademarks and copyrights.
  • Experience with U.S. and foreign trademark prosecution, including WIPO filing processes and procedures
  • Experience with docketing appeals, contested proceedings
  • Understanding of TTAB proceedings and trial date docketing
  • Experience with IP management software services, particularly CPi
  • Interface between docketing, paralegals and the attorneys.
  • Conduct daily global docket review.
  • Monitor and attend to deadlines on dockets and manage follow up.
  • Meet with attorneys to review timelines.
  • Advise attorneys of issues relevant to clearing the docket, and re-docket as needed.
  • Prepare deadline tickler-reports for attorneys and paralegals.
  • Manage daily review of shared trademark inbox and weekly docket reports.
  • Assist with verifying status of trademark applications with the US and worldwide trademark databases (e.g., searches, status checks, etc.) and updating as needed.
  • Generate various docketing and status reports, prepare correspondence to clients, agents and vendors, as needed.
  • Supervise para-professionals, including management of workloads and coordination of non-docketing work with Trademark Specialist and Paralegals.
  • Responsible for reviewing and streamlining procedures, ensuring “best practices” in place.
  • Manage trademark file transfers, both inbound and outbound.
  • Coordinate with foreign agents and vendors to ensure international law requirements are kept current in docket management system.
  • Participate in and conduct training for para-professional team as needed.

Skills, Knowledge and Abilities

  • At least four years of experience as a trademark docket administrator;
  • BA College degree preferred;
  • Experience with US and foreign trademark docketing and filings and large portfolio intakes;
  • Must have excellent written and verbal communications, and strong organizational and computer skills;
  • Self-motivated and adept at multi-tasking and prioritizing to meet strict deadlines.
  • Detailed knowledge of trademark and prosecution process and rules world-wide and experience in docketing of all related actions, including USPTO, OHIM, UK IPO;
  • Experience with Inprotech, CPI, IP Master, or other IP docketing systems;
  • Experience with TESS, TEAS, TSDR, USPTO EFS-Web and Pair;
  • Advanced analytical and information gathering skills;
  • Ability to evaluate and prioritize extensive, detailed data;
  • Outstanding communication, team-building and problem-solving skills and
  • Availability to work overtime as needed.
