Summary
Premier, forward thinking, Fortune 100 Best Places to Work, global, law firm is conducting a search for a Legal Administrative Assistant to assist Firm attorneys in our fast-paced Intellectual Property Litigation practice group. The Legal Administrative Assistant will perform a variety of administrative duties including type and revise correspondence, memoranda, documents, time sheets and project work; proofreading and ensuring quality of all document action; telephone and mail distribution; coordinate travel arrangements; maintain files.
Essential Duties
- Open client matters and draft engagement letters.
- Coordinate with billing specialists to prepare, edit and set-up client bills.
- Case and project management.
- Answer telephones and sort mail.
- Enter attorney time records into the time entry application prior to deadlines.
- Process expense reimbursement, coordinate travel arrangements, and maintain updated contacts.
- Interact with all levels of Firm personnel while maintaining a professional demeanor.
- Follow general office procedures and filing techniques.
- Provide support to process substantial editing, revisions and oversee quality control of documents.
- Demonstrate flexibility in work schedule to meet the needs of the IP Litigation group.
Skills Needed to be Successful
- Must be proficient in MS Word, Outlook, and Excel
- Have exceptional administrative and word processing skills.
- Can organize and prioritize numerous tasks and complete them under time constraints.
- Have great attention to detail, and the ability to concentrate and organize work.
- Must be able to work well independently while handling complex situations, analytical, and self-starters.
- Able to proofread typed material for contextual, grammatical, typographical or spelling errors is also needed.
- Knowledge with Chrome River, DTW & Elite a plus
- A minimum of 2+ years of prior administrative experience in a law firm is highly desirable.
- A high school diploma is required; an Associate or Bachelor’s Degree is preferred.
The hours of the position are Monday thru Friday from 9:00 a.m. to 5:00 p.m. Candidates must have the flexibility to stay beyond normal working hours when workload demands.
