Information Governance Analyst
Office: New York, NY
Hours: 11:00 a.m. to 7:30 p.m.
Responsibilities
- Creating and tracking legal files, both in paper and electronic format.
- Classify, organize and analyze client data/files and verify its accuracy and accessibility in a comprehensive records and document management system.
- Coordinate and process client transfers, both incoming and outgoing.
- Process proper disposal of client files that have met retention in accordance with firm and department protocol.
- Carry out routine maintenance of client files in litigation hold and other internal files.
- Provide support to other department personnel by responding to requests for information and assistance with the goal of providing exceptional customer service and producing top tier quality work.
- Work routinely on the maintenance, retrieval and archival of boxes.
- Prepare calendars, listings, charts, reports, forms and other documents for use in tracking or maintaining various departmental information.
- Extensive data entry in various department logs and trackers.
- Perform regular supply inventory checks and orders for the department.
- Promote an awareness and positive image of the department.
- Compose lucid routine internal and external correspondence.
- Organize workload in accordance with set priorities.
- Exercise sound, independent judgment within established procedures and guidelines.
- Understand and follow written and oral instructions.
- Work on both individual and team-based projects.
- Assist with office moves and file searches.
- Work collaboratively both with team members in New York office and core team in Silicon Valley office to efficiently carry out departmental and firm-wide goals.
Requirements
- Minimum of two years of experience working in an information governance or records assistant capacity in a law firm or professional services company.
- Proficiency in Microsoft Word, Excel, Outlook, Adobe Acrobat, Nuance or other PDF-based solution.
- Experience working with Autonomy/FileSurf or similar records management software preferred.
- Superior organizational skills and ability to manage multiple priorities and deadlines.
- Excellent communication skills, both written and verbal.
- Strong attention to detail.
- Exceptional customer service skills.
