A premier global law firm, currently has an excellent full-time employment opportunity for an Administrative Assistant in their New York City office. We offer an excellent benefits package. This is a full-time position (35 hours per week); flexibility for overtime is required.
Duties & Responsibilities
The Legal Administrative Assistant will provide legal administrative support to busy attorneys in the Real Estate Litigation department. Duties include but are not limited to:
- Document production, including discovery pleadings and other litigation documents, memoranda and correspondence;
- Organize and maintain pleading exhibits and other litigation documents;
- Assist with document production requests;
- Assist with scheduling of meetings, including confirming appointments, reserving conference rooms and entering catering orders;
- Maintain administrative and department files;
- Manage multiple phone lines, answer calls, take accurate and complete messages and direct calls appropriately;
- Other administrative task such as calendaring, updating client and contact lists, time entry, process reimbursement expenses, travel arrangements, photocopying, faxing, scanning, etc.
- Schedule is Monday – Friday, Hours are 9:30 a.m. – 5:30 p.m., with paid overtime available and needed on a regular basis.
Skills & Competencies
Qualified candidate must have excellent organizational and communication skills, be detail-oriented, able to prioritize their workload and work well under pressure and have good time management skills. The successful candidate must be dependable, a self-starter, with a “can do” attitude, able to work independently, or as part of a team. The ideal candidate must have excellent typing speed and accuracy and be highly proficient using Microsoft Office Suite applications (Word, Excel, Outlook). Must be a team player and flexible to work overtime.
Qualifications & Prior Experience
The successful candidate must have a minimum of 2 years of legal secretary experience in a law firm; knowledge of Real Estate Litigation a plus. Knowledge of current local, state and federal court filing requirements, including E-Filing and New York court rules, a plus.
