Summary

The Human Resources Manager is an HR generalist and staff manager, who serves as a valuable member of the administrative management team. The team’s mission is to support the business of the firm through collaboration on projects, goals, policies and procedures. The Manager of Administration serves as a positive role model and mentor and performs all responsibilities with a commitment to providing superior service to the Firm’s employees. The person in this role must maintain efficient and effective departmental operations, be an impeccable communicator and foster an atmosphere of teamwork and continuous improvement.

Primary responsibilities of this position include: management of employee benefits; being a subject matter expert on and lead facilitator of the Firm’s HRIS (ADP WorkforceNow); training; onboarding and offboarding; compliance; and the management and recruiting of Legal Secretaries, Word Processors and Receptionists.

Benefits

  • Lead and foster effective, collaborative relationships with benefit vendors and act as liaison between employee and insurance carriers
  • Inform, educate and guide employees on complex issues with benefit providers and on complicated claims and benefit structures
  • Reconcile all insurance carrier invoices (g. medical, dental, vision); communicate errors to carriers and ensure proper reimbursement
  • Create, implement and manage open enrollment from start to finish; coordinating paperwork, provider educational sessions, self-service enrollment in ADP
  • Manage carrier feeds between ADP and benefit providers
  • Oversee deductions for payroll and partner draws
  • Process all new hire enrollments and enrollment changes throughout the year
  • Process 401(k) enrollments, loans, waivers, rollovers and withdrawals
  • Recommend benefit plan changes

Talent Acquisition & Management

  • Recruit, assess, interview and hire Legal Secretaries, Word Processors and Receptionists
  • Determine hiring needs; make salary recommendations; maintain job descriptions
  • Develop recruiting budgets; cultivate relationships with recruiters; post job descriptions using online resources
  • Manage Legal Secretaries, Word Processors and Receptionists, ensuring they receive motivation, support, skills, knowledge needed for success and engagement
  • Evaluate performance on a year-round basis; recommend annual salary increases and bonuses; prepare and deliver annual performance reviews
  • Oversee secretary/attorney assignments; coordinate daily staffing; manage work flow to ensure timely completion of projects; manage weekend work and dedicated secretarial coverage
  • Handle employee relations, probationary and disciplinary matters, up to and including termination when required
  • Approve time off requests and timesheets 

Training

  • Conduct and coordinate all employee training, including policies, procedures, best practices, software, client intake, etc.
  • Coordinate experts for live/online sexual harassment, benefits and Medicare training

Other Generalist HR and Administrative Duties

  • Onboard all new employees; offboard all exiting employees
  • Collaborate with IT, Document Services, Accounting and other departments, as necessary, to resolve issues and improve processes
  • Facilitate better communication among different employee groups at all levels
  • Manage HRIS (ADP): process new hires and terminations; maintain confidential employee data; schedule benefit changes for carriers and payroll; manage benefit carrier feeds; provide reports and data needed for government mandated reports
  • Document performance actions for the HR files
  • Maintain all paper employee records and HR files
  • Develop and maintain HR related budgets
  • Prepare and communicate information to employees, spouses and former employees
  • Create, recommend and ensure that all Firm policies are up to date and in compliance
  • Ensure compliance is maintained with government regulations: COBRA, I-9 forms, EEOC reports, FMLA and PFL matters, NYS and NYC sexual harassment laws, ACA reporting (Forms 1094/1095); working knowledge of STD, LTD, WC and ADA
  • Serve as Wellness Committee Chairperson, engaging employees with initiatives to encourage mindfulness, good health and well-being
  • Recommend and develop HR initiatives and programs
  • Serve as back-up for Director of Administration and perform miscellaneous job related duties, as assigned 

Experience Required

  • Bachelor’s degree
  • Minimum 5 years human resources and management experience
  • Law Firm experience preferred
  • Advanced degree and/or professional certification preferred (g. SHRM, HRCI)
  • Membership in a professional network of HR and/or law firm managers (g. SHRM, ALA); other professional memberships are a plus
