Summary

A fifteen attorney boutique transactional entertainment law firm is seeking an administrative assistant to join their team.  Everyone rolls up their sleeves and pitches in in multiple ways.  This position will support three attorneys (two partners and an associate).

Responsibilities

As an Administrative Assistant, responsibilities include answering phones, filing and document organization, transcribing dictation, creating and finalizing documents in Word and Excel, inputting attorney time, coordinating monthly billing, coordinating meetings, welcoming guests and clients, setting up travel arrangements and other related tasks.  Must have strong organization skills and pay rigorous attention to detail.

Examples of specific responsibilities include: general administrative duties such as filing, answering phones, scheduling meetings and calls, correspondence on your attorneys’ behalf, logging and submitting receipts for reimbursement, and some light paralegal work (preparing engagement letters, editing and revising documents, note taking etc.); scanning paper documents into iManage; managing your attorneys’ entire billing process including inputting time sheets, sorting bills for review and scanning/emailing bills out to clients; and writing first drafts of emails and letters.  Assist other secretaries with overflow work and provide backup legal secretary support during vacations, leaves of absence, etc., and provide backup support for reception, conference room and office services functions.

Knowledge of Microsoft Office 2013, iManage/Filesite, PowerPDF Advanced, and TABS3 preferred.  Must be able to lift boxes that weigh up to 25 pounds.  College graduate with at least two years law firm experience required.
