Billing Supervisor

Summary
The Finance and Billing functions strive to provide outstanding service to the Firm’s partners, clients and others within the Firm; therefore, the candidate must be very flexible and highly committed to quality, customer service, teamwork and supporting Firm and department goals in a fast-paced environment.
The Billing Supervisor position will be an integral part of the billing team and will be responsible for:
- Supervising, training, motivating, and leading the Billing Specialists and/or Assistants in their local offices.
- Meeting with the Billing Specialists on their team to (a) review their unbilled amounts and review their overall management of partners’ inventories, (b) identify issues, (c) guide the Billing Specialists as to the best course of action for working with their assigned attorneys and secretaries to resolve issues, (d) personally assist in the resolution of issues on an as needed basis, (e) keep the Billing Manager informed of all issues and actions being taken, and (f) escalate issues to the Billing Manager for resolution, as appropriate.
- Ensure that the workloads (both long and short-term) of their team members are properly balanced and weighted.
- Work with the Billing Management Team to (a) identify the major competencies required for Billing Specialists and Assistants, (b) identify where deficiencies in these competencies exist, (c) assist in the development of training programs in order to correct deficiencies, and (d) administer training to their team members.
- Proactively assess the billing team’s procedures, on a continual basis, in order to help identify strategies for improving internal processes, to maximize productivity and increase quality of work.
- Provide consistent feedback to team members and provide continuous updates to Billing Manager to identify training opportunities. Assist the Billing Manager in conducting formal mid-year and year-end performance evaluations of their team members.
- Administer vacation and over-time for their team members, in accordance with Firm policies and in accordance with department protocols put into place by the Billing Manager.
- Manage the unbilled inventory for a subset of the Firm’s lawyers and clients.
- Promote the Billing Department’s service Standards of Excellence, by setting the example in your (1) level of organization and planning, (2) commitment to customer service and responsiveness, (3) quality and attention to detail in your work, (4) high level of professionalism, and (5) ability to exercise and develop teamwork.
Qualifications
Must have the ability to effectively communicate with all levels of personnel, have excellent attention to detail and the ability to work well under pressure. Position requires outstanding written and verbal communications skills, excellent organizational skills and the ability to strategize, multi-task and prioritize. Ideal candidate has an exemplary customer service mindset, is highly motivated, and enjoys a team-oriented atmosphere. An ownership mentality, a commitment to proactive communication and exceptional follow through skills are absolutely essential for success in this position.
Experience
A minimum of five years of law firm billing experience is strongly preferred. Experience with CMS or Elite billing modules is required; high-level CMS experience is preferred. Must have strong technology skills, including MS Office Suite and an ability to leverage technology in work processes.
