Senior Manager of Operations & Risk Management-Real Estate

Essential Duties and Responsibilities

  • Observe confidentiality of all Firm information.
  • Assist in space planning and administration for interior renovation projects.
  • Assist in management of vendor contract relationships (car service, travel, art, etc.).
  • Assist in all aspects of insurance renewals (property and casualty, etc.).
  • With guidance, draft and update manuals, policies and procedures.
  • Coordinate ongoing space management and office moves; liaise with the appropriate departments.
  • Review, update and maintain lease files. Audit lease files and update information as required.
  • Assist in administering the Firm’s disaster recovery and business continuity plans and efforts.
  • Compose Firm correspondence for multiple platforms: written, email and verbal.
  • Scan and file invoices, letters and other documents.
  • Create monthly, quarterly, annual, and ad-hoc reports (financial, performance, etc.)
  • Schedule meetings, establish and maintain calendar deadline reminder items.

Knowledge, Skills and Abilities

  • Flexibility for overtime, including weekends, as required.
  • Versatile/flexible with the ability and willingness to take on new responsibilities and tasks as requested.
  • Ability to work both independently and with a team in fast-paced, high pressure environment.
  • Interest or background in improving and streamlining processes.
  • Excellent written, verbal, communication and interpersonal skills.
  • Impeccable attention to detail and exacting standards.
  • Self-starter and strong ability to prioritize multiple projects simultaneously while meeting strict deadlines.
  • Knowledge and understanding of lease agreements, contracts, and/or vendor management.
  • Ability to present and maintain a professional appearance and demeanor.
  • Excellent command of Word, Excel, and PowerPoint is required and ability to learn new software.
  • Knowledge of AutoCAD, Visio, or SketchUp to assist with space planning assignments.
  • Must be able to climb, kneel, lift and carry items up to 30 lbs.

Minimum Qualifications

  • Bachelor’s Degree (preferably in Real Estate, Construction, Management or related business field).
  • Minimum 3-5 years of experience in real estate, operations and risk management in a legal or professional services environment.

Working Conditions

  • Normal office environment with little exposure to excessive noise, dust, temperature and the like.
