Summary
Responsible for managing day-to-day legal personnel activities/operations and working with Director, Legal Personnel & Legal Compliance on various compliance related projects.
Primary Responsibilities and/or Essential functions:
- Manage day-to-day legal personnel activities, including on-boarding and off-boarding associates, conducting orientations, assisting associates with personnel/policy related questions, and updating firm systems to reflect legal personnel changes. Serve as primary resource for associates on policy and personnel matters/questions. Supervise Legal Personnel Assistant in various legal personnel activities. Approve associate expense reports relating to firm programs. Serve as point of first contact for associates joining the firm.
- Work with the Director, Legal Personnel & Legal Compliance on various compliance related projects.
- Ensure compliance with bar licensing requirements for NY attorneys. Work with attorneys on bar application and admission process, and license renewals, including the preparation of supporting affidavits relating to admission, processing payments for license renewals, and assisting with any admission/licensing related questions. Monitoring NY bar rules relating to admission for changes/compliance.
- Manage the immigration program for NY attorneys. Responsible for working with outside legal counsel to make decisions on appropriate visas, maintaining immigration records, ensuring that all attorneys on visas remain in compliance and current with visas, and reviewing and approving visa applications.
- Analyze data and prepare internal reports on statistical associate information, including attrition, headcount, vacation, and leave reports; handle and/or coordinate preparation of responses to client and media surveys for attorney statistical data.
- Coordinate with various administrative departments in the firm with respect to legal personnel matters.
- Coordinate with all US offices to ensure consistency in programs and processes, and provide guidance to those offices on personnel matters.
- Provide support to the professional mother’s group as needed.
- Observe confidentiality of all Firm and client matters.
- Any other responsibilities or special projects as assigned by Director, Legal Personnel & Legal Compliance.
Knowledge, Skills & Abilities
- 5+ years of experience in a fast-paced corporate environment; big law experience preferred.
- Highly energetic, self-motivated, and able to work independently.
- Exceptional communication and interpersonal skills, and be able to work with a “service” mentality.
- Must be able to work directly with senior attorneys and administrative staff.
- Strong follow-up skills.
- Excellent listening skills, strong diplomatic and influencing skills.
- Strong attention to detail and strong project management skills.
- Extremely strong organizational skills.
Education/Certifications
- JD required.
- At least two years of prior legal practice experience in a mid-to-large sized law firm preferred.
