Revenue Operations Manager

Overview
Reporting to the Director of Revenue, the Revenue Operations Manager will be responsible for the management of the Finance related portion of Firm’s New Business Intake Process. This position will lead the Firm’s electronic billing functionality and maintenance and oversee the development and upkeep of the Client Billing Protocols library. This position will ensure that the highest levels of quality and services are being provided both internally and externally by implementing standardized processes and procedures across the intake and electronic billing functions, in accordance with firm policies as established by the Director of Revenue, Director of Finance, and the firm’s Billing and Collections Committee.
Responsibilities
- Manage a team of two on the Finance portion of our New Business Intake Process, work with consultants to assist in developing the Client & Matter Intake Process using Intapp Open, including workflow and firm policies regarding same.
- Lead eBilling efforts including training staff; reviewing current internal and external processes and confirm best practices; own the upkeep and maintenance of the ebilling platforms, including: rates, timekeepers & various codes edits & additions; own and maintain the eBilling hub functionality.
- Review, analyze and ensure compliance with client’s Outside Counsel Billing Guidelines. Lead the development & upkeep of the Client Billing Protocols library and Partner Billing & Collections Face Book documentation.
- EBilling: extensive knowledge & experience with eBilling vendors (TyMetrix 360, CounselLink, Collaborati, Legal Tracker (Serengeti), Collaboration Portal (Passport), Corridor Bridgeway, Onit Billing Point, DoeLegal Ascent, RBSLSS, Lawtrac (E&Y), BottomLine Legal Exchange); submit timekeeper rates for all of eBilling sites; complete new client set-ups with eBilling vendors; help review and manage the eBilling invoice rejections and work with Billers to resubmit; manage eBilling vendor invoices for payment.
- EBilling Hub: configure new clients; run bi-weekly invoices rejection report in the Hub then share with all eBillers & coordinate follow-up; ensure eBilling Hub set-up is compliant with client Outside Counsel Guidelines (OCG); ensure Task and Activity Codes are properly set-up for each new client.
- Assist Billing Teams in taking ownership of the full matter life-cycle, assuring proper matter setup in accordance with client and Partner requirements/preferences; necessary e-billing task/activity codes, matter ID and/or budgets are incorporated in matter details; ensure alternative fee arrangements (AFAs) are setup where applicable; compliance with client’s billing requirements (i.e. time increments, frequency, invoice(s) template). Update billing protocols as needed.
- Establish effective & open lines of communication with clients’ financial team so that the firm’s ebilling process is streamlined and highly effective. Troubleshoot client invoice related e-billing questions/problems.
- Respond to client inquiries/questions in a timely manner and escalate issues as needed to other Manager, Directors or other firm management as needed.
- Collaborate with the billing/collection team and other finance personnel and work closely with Partners and other legal staff to achieve the firm’s goals.
- Develop and mentor junior team members to help strengthen & expand their knowledge base; help team members develop effective and professional written communications, in-person meetings and effective time management skills.
- Coordinate ad hoc projects at the request of clients, Partners, and firm management.
- Provide coverage during absence of other team members.
- Confirm compliance with the firm’s accounting, billing and collection policies and controls and ensure integrity of the firm’s financial and operating information.
- Prepare various reports and analyses, as requested.
- Document and update Partner & client billing protocols as needed; train Billers to do same.
- Set standards for staff performance levels and provide timely feedback on those standards; continually identify development opportunities for staff and help them pursue same.
- Other responsibilities within the billing/collection function as they may be assigned from time-to-time.
Qualifications
- A Bachelor degree or equivalent experience preferred.
- 5+ years’ experience in a large law firm billing department or comparable industry.
- 2+ years of staff supervision preferred.
- Software: Elite (Enterprise or 3E) or Aderant a plus (Elite preferred); eBillingHub; Various eBilling Vendor platforms; Design Gallery, Star*Collect, Target*Cash, and InTapp is a definite plus.
- Proficiency in MS Outlook, Word, Excel, and Power Point.
- Excellent written, verbal & interpersonal communication skills.
