Job Description
This position will be primarily responsible for processing conflict requests with respect to new business intake, lateral, and new attorney hires to ensure that the Firm minimizes risks and avoids and conflicts of interest with current and potential clients. Acts as primary backup to the Conflicts Manager as needed. The position will work closely with the Conflicts Attorneys and Sr. Manager, Compliance & Conflicts Operations.
Primary Responsibilities and/or Essential Functions
New Business Intake
- Provide guidance on Conflicts of Interest (CoI) procedures and New Matter Sheet (NMS) guidelines.
- Develop team wide processes for running conflict requests.
- Perform corporate affiliate research using a variety of reference materials. Perform research and analysis on the Firm’s new business and bankruptcy disclosure affidavits.
- Adhere to sanctions procedures and perform relevant database checks.
- Assist Conflicts Attorneys as needed with the clearance of CoI reports.
- Review Ethical Screens and setup using the Firm’s Ethical Wall software.
- Periodically review Ethical Screens and ensure they are still valid.
Hiring
- Work closely with Senior Conflicts Attorney to develop a workflow and team wide conflict process for lateral and new attorney hire.
- Perform research and analysis on the Firm’s lateral hires and new attorneys.
- Evaluate lateral hire requests and enter search criteria based on the evaluation. Review results of the lateral hire search and provide corresponding match report for review and clearance by hiring partner and Conflicts Attorneys.
- Assist analysts with running Summer Associate, Incoming Associate, Lateral Attorneys, paralegals and secondees conflicts checks, update tracking spreadsheet and coordinate filing of all documentation.
Securities Trading
- Receive all requests for securities trading and process in accordance with firm Securities Trading Guidelines/Policies.
- Responsible for Sensitive Security Clearances. Follow Firm Guidelines for obtaining clearance for all requests.
Administrative Tasks
- Train and assist Senior Analysts with disclosure and bankruptcy filing conflict reports and coordinate of all documentation in that regard.
- Enter relevant information for new bankruptcy matters into CoI database.
- Enter telephone information into the CoI Database and maintain that file by deleting old inquiries. Delete telephone inquiry information upon receipt of new matter sheets from CoI database.
- Any other responsibilities or special projects as assigned by management.
Knowledge, Skills & Abilities
- 5+ years of relevant conflicts experience in a Large Law Firm preferred.
- Candidate should be detail oriented, organized and have excellent communication skills.
- Ability to provide off hours coverage as necessary. (Including nights, weekends and holidays).
- Strong Internet Research, record keeping, and some database management skills are a plus.
- Good decision-making skills, handle multiple projects, and meet deadlines.
- Excellent attention to detail, responsiveness and customer service.
- Knowledge of CoI principles including the ability to define relationships and related parties within the conflict of interest system.
- Ability to organize and prioritize numerous tasks and complete then under time constraints.
- Proficient in MS Office products.
- Working knowledge of 3E Conflicts and/or Intapp Open and various databases strongly preferred.
- Ability to work in a fast-paced, high-pressured environment.
Education/Certifications
- Bachelor’s degree or relevant working experience preferred.
