Summary

The Real Estate Project Supervisor will work closely with the Legal Assistant Manager and the Department’s assigning partners in the hiring, development and training of a skilled paralegal staff in his/her designated practice group. The Supervisor will also be responsible for deal assignments, the daily deal flow and ensuring that best practices are maintained.

The Supervisor will maintain a billable hours requirement and provide specialized paralegal support to the Real Estate team and assist in the execution of commercial real estate closing and post-closing procedures. Responsible for providing transactional assistance to the Department’s attorneys including many aspects of commercial real estate due diligence, the preparation of loan documents, assignment documents, ancillary affidavits and schedules and transfer documents.  Also will be responsible for the organization and maintenance of deal files, checklists and closing binders; follow up on and organization of post-closing items including recorded documents and post-closing requirements.

Supervisory Responsibilities

  • Coach and mentor Real Estate Legal Assistants to work more effectively and efficiently by helping them optimize the use of technology and firm resources
  • Create and implement ongoing training programs for new hires and existing staff
  • Manage legal assistant records, diaries and hours requirements
  • Ensure adequate support coverage
  • Provide back-up support to other Real Estate legal assistants, when necessary
  • Monitor and evaluate the quality of legal assistant work product
  • Ensure that all work is compliant with the firm’s best practice guidelines
  • Assess legal assistant workloads and redistributes accordingly
  • Assess performance of legal assistants with respect to identified competencies for their role
  • Work with Legal Assistant Manager to recruit, screen, interview, and select high quality candidates
  • Ensure proper orientation and understanding of firm guidelines
  • Meet regularly with firm’s attorneys and legal assistants, to inform as to status of real estate matters

Responsibilities

  • Coordinate all closing activities and act as the primary point of contact for opposing parties, title companies, surveyors and other third party vendors
  • Assist in the coordination of large, multi-state portfolios of commercial real estate acquisition, sale, use, and development activities
  • Coordinate, review, abstract and perform minor review/drafting of various real estate documents
  • Manage the flow and follow up of information and correspondence for real estate documents
  • Store and manage real estate documents and records
  • Prepare, update, finalize and oversee the execution of loan documents
  • Manage and audit electronic real estate database to maintain accuracy of records
  • Maintain closing checklists
  • Review closing documents for accuracy and completeness
  • Prepare closing binders and deal distributions
  • Draft and arrange for the filing of UCC financing statements
  • Review title and survey reports

Qualifications

  • BA/BS degree with strong academic record
  • Seven-plus years of commercial real estate paralegal experience at a law firm; supervisory experience a plus
  • Registered as a NY State Notary, or eligibility to become a Notary
  • Proficient (or able to become proficient quickly) in use of Microsoft Word, Microsoft Excel and the firm’s document management system and file transfer tools.
  • Proven ability to research, analyze and synthesize large amounts of data
  • Exceptional interpersonal skills, a commitment to professionalism, integrity and collegiality
  • Highly detail-oriented, including ability to assess and respond to underlying detail issues and implications
  • Flexibility to work overtime as necessary, including nights and weekends
