Manager of Secretaries and Support Services

Newark, NJ

Essential Duties

  • Responsible for managing Newark secretaries and receptionists, Project Service Center (“PSC”) supervisors and staff (day/evening shifts) and weekend support services logistics
  • Support attorneys with coordination of Newark Legal Secretarial support during absences. Review and approve Newark staff time sheets
  • Performance Management- conduct annual review meetings for Newark secretaries and receptionists
  • Coordinate attorney/secretary assignments and manage daily practice group coverage issues
  • Meet with Practice Group Leaders regarding secretarial staff issues, training endeavors and Workshop ideas to support practice groups, including follow up training for legal staff
  • Meet bi-annually with secretaries regarding new programs and processes
  • Meet monthly with PSC supervisors to review workflow
  • Maintain practice group calendars to ensure coverage
  • Provide quarterly secretarial overtime updates to Practice Group Leaders
  • Apprise Director of Human Resources about the status of secretarial staff issues and matters regularly
  • Participate in New Hire Orientation twice per month
  • Work with Information Technology Team regarding software projects to ensure effective rollout to staff
  • Work with Facilities Department to support attorney and secretarial moves within the Newark office
  • Work with Records Department regarding filing-related issues

Minimum Qualifications

Training and Experience 

  • Bachelor’s degree in Human Resources or Business Management preferred
  • PHR designation from Society of Human Resource Management preferred

Knowledge, Abilities and Skill 

  • Minimum of 5 years of Supervisor experience or Office Management experience
  • Minimum of 5 years Human Resources Experience
  • Superior oral and written communication skills
  • Proven Interpersonal Skills
  • Excellent organizational ability
  • Attention to detail
  • Ability to interface and maintain effective relationships across the firm
  • Ability to work flexible hours
  • Strong knowledge of Microsoft Office programs, including Word, Excel and PowerPoint
