Human Resource Assistant/Administrative Assistant

Purpose 

The Human Resource Assistant/Administrative Assistant will perform a variety of personnel-related tasks along with supporting the Professional Staff Human Resources team. This individual will be responsible for assisting with all human resources (HR) day to day matters and duties regarding HR functions.

Key Responsibilities

  • Organizes the on-boarding and departure processes of all professional staff employees. Including but not limited to: screening potential candidates, scheduling interviews, holding orientations, providing information on firm policies and procedures, sending departure details, etc.
  • Point of contact for professional staff employees to help resolve questions or concerns by providing relevant and accurate information and directing inquires to appropriate firm resources.
  • Oversee HRIS data entry and reporting related to all HR processes including new hires, terminations, transfers, leaves of absences, and address changes as well as reviewing Paid Time Off transactions.
  • Fulfill employment verifications by answering telephone and written inquiries regarding employment status of current and former employees in regards to reference checks, mortgage applications, unemployment forms, etc.
  • Manage general HR responsibilities such as receiving calls, maintaining personnel files, coordinating conference room reservations and logistics, completing expenses, greeting applicants, etc.
  • Provide Learning and Development Manager support as needed. This includes but is not limited to, coordinating event logistics, preparing materials, monitoring attendance and assisting with training satisfaction surveys.
  • Assist HR team with ad hoc projects as needed.

Qualifications & Experience

  • Bachelor’s degree required.
  • HR internship experience or 2+ years of administrative experience in a fast paced environment, preferably financial services or legal industry.
  • Excellent interpersonal, client service, and written and verbal communication skills.
  • Exercises good judgment, has excellent organization skills, and strong attention to detail.
  • Ability to multi-task and prioritize numerous responsibilities.
  • Ability to maintain confidentiality.
  • Proactive and enthusiastic team player.
  • Must be proficient MS Word, Excel and PowerPoint.
  • Experience with Workday and iCIMS is favorable.
