Recruiting Assistant (Laterals)

Summary
Large, national, law firm is seeking a candidate who has demonstrated drive, dedication, professionalism and a positive attitude. The Recruiting Assistant will support the Manager of Lateral Recruiting in the recruitment of lateral attorney candidates for the firm. We are seeking candidates who are detail oriented and have excellent client service and multi-tasking skills.
Essential Job Requirements
• Scheduling of all levels of lateral attorney candidates;
• Coordinating with Search Firms regarding the status of candidates;
• Coordinating candidate travel and travel/directions for interviews;
• As needed, escorting candidates to appropriate meeting places, making introductions;
• Entering and updating the recruiting database;
• Preparing candidate correspondence including confirmation letters and status letters;
• Preparing and tracking search firm agreements;
• Preparing expense reports/check requests;
• Providing administrative and clerical support for the Manager, including answering phone calls, taking messages, arranging conference calls, managing the interview schedules;
• Keeping track of open items and initiating timely follow-up;
• Assisting with lateral recruiting events and special projects;
• Adhering to firm policies and procedures;
• Maintaining a reliable attendance record; arriving to work in a timely manner and observing prescribed meal periods;
• Displaying an attitude of cooperation with attorneys, peers and administrators;
• Willing to support ad hoc Human Resources projects as needed.
The Ideal Candidate
• Minimum of 3 – 5 years of experience as a Recruiting Assistant, preferably within a Human Resources Department of a law firm or professional services environment;
• Bachelor’s degree preferred;
• Ability to multi-task and manage multiple priorities;
• Proficiency with MS Office (Outlook, Word, Excel and PowerPoint); solid experience in producing reports and graphs using formulas and functions;
• Prior experience with database entry; knowledge of viRecruit or other recruiting software a plus;
• Ability to comport oneself professionally as a representative of the firm in an array of situations, interacting with all levels of the organization, candidates, and various external resources;
• Excellent phone demeanor and skills are necessary;
• Sound verbal and written skills are required;
• Exceptional organizational skills and attention to detail are an integral part of this role;
• Ability to meet the firm’s client service standards by maintaining a positive and professional demeanor and a willingness to get the job done.
