Operations Supervisor

Summary

Supervises the facilities staff and oversees department functions relating to office moves, equipment, furniture contract maintenance and building management. 

Duties and Responsibilities

  • Directs and provides leadership to facilities staff. Plans and delegates work and makes decisions regarding employment, training and development, performance evaluations, salary recommendations and related staff issues.
  • Assists with the preparation of annual budgets for various Operations Department accounts; develops operating forecasts and operates within approved budget limitations.
  • Works directly with various vendors, internal contacts, and appropriate building management personnel for cleaning, restoration and other general housekeeping needs on a day-to-day basis.
  • Negotiates and manages maintenance contracts for equipment and furniture.
  • Responsible for preventive maintenance in office.
  • Oversees the purchasing function and ensures compliance with purchasing policy.
  • Maintains office supplies inventory for the firm.
  • Maintains inventory of equipment and furniture both on-site and off-site.
  • Manage ergonomic program for the Boston office.
  • Manage internal office moves to include scheduling, notification and coordination.
  • Coordinates internal moves and office setups for new arrivals.
  • Assists with case room assignments to include determining the most efficient use of space, and coordinates appropriate set up.
  • Liaison with building engineers and building staff.
  • Contributes to the Firm’s Service Excellence initiative to consistently improve its image internally and externally. Displays professionalism, quality service and a “can do” attitude to internal members/departments of the Firm as well as external clients and vendors via electronic and print correspondence, over the telephone and in-person. 

Knowledge/Skills/Abilities

  • Excellent management and interpersonal skills.
  • Strong communication, organizational and computer skills.
  • Ability to work independently and handle multiple responsibilities.
  • Ability to lift a minimum of 25 pounds. 

Education

  • BA/BS preferred. 

Experience

  • 5+ years’ experience in the Office Services field.
  • Prior supervisory experience required.
