Diversity Coordinator

Hours: Monday-Friday, 9:30 AM to 5:30 PM
Essential Duties & Responsibilities
Reporting to the Manager of Diversity & Inclusion, the Diversity Coordinator will provide essential administrative and logistical support for the Firm’s diversity and women’s initiatives programs and assist with marketing projects. The primary responsibilities include:
- Data preparation and analysis: Prepare data reports and surveys. Prepare demographic reports using Excel by compiling and calculating data. Assist manager in completion of various diversity, women’s and general legal personnel related surveys; track survey deadlines and ensure timely filing. Filing and organizing documents electronically and in hard copy
- Program support: Track and update membership in affinity groups and other programs, schedule meetings, trainings and events. Support event planning, including coordinating room reservations, technical support, catering, and tracking invitations and attendance. Prepare invitation requests as appropriate. Maintain and update departmental calendar; ensure there are no conflicting programs
- Budget and expense reimbursement tracking: Track expenditures against proposed budget; maintain record of expenses. Create check requests for approved sponsorships; monitor requests. Work with accounting to process incoming reimbursement requests
- Communications and marketing assistance: Use Sharepoint and Concep Campaigner to update diversity and Women’s Initiative intranet sites and prepare and distribute invitations. Work with Graphics department to update and reorder materials
- Other responsibilities as they are assigned from time to time
Education and Experience:
- A Bachelor’s degree is required
- Strongly prefer at least one year of experience providing administrative support post-graduation
- Strong Excel (pivot tables, sumifs, vlookups) and Word skills required
- Experience with LawCruit and/or SharePoint or aptitude for learning new software programs is a plus
- Must have strong organizational skills and attention to detail
- Must have excellent communication skills
- Must be a proactive, self-starter and have strong client service orientation
- Must be a team-player, able to take direction and be a quick-learner
- Must have exemplary project management skills
