Job Description
The Senior Coordinator will report to the firm’s Professional Development Director for the Corporate and Transactional Departments. The Senior Coordinator will primarily focus on coordinating scheduling and logistics for training programs and conferences for attorneys in the firm’s corporate and transactional departments, and will also perform other administrative tasks for the Professional Development Department.
Responsibilities
Under the direction of the Professional Development Director for the Corporate and Transactional Departments, the Senior Coordinator will:
- Assist in creating and managing the department’s training calendars and schedules, working closely with the firm’s legal personnel, recruitment, diversity and inclusion, and pro bono staff.
- Arrange and organize logistics for internal trainings and related meetings, including by managing guest list, drafting and managing invitations and reminders, making room reservations, instructing catering staff, liaising with audio-visual staff, assisting with presenter and materials preparation, and proctoring trainings.
- Draft and ensure completion and electronic filing of continuing legal education compliance documents, including sign-in sheets, timed agendas and other materials.
- Assist in event planning and execution of training conferences and events for the firm’s attorneys, including new associate orientation and summer associate training programs.
- Create and manage tracking spread sheets for mandatory programming and lead follow-up efforts with attorneys to ensure attendance.
- Assist in maintaining internal training database to optimize user experience and ensure regulatory compliance.
- Scheduling and managing logistics for in-house coaching appointments for attorneys.
- Serve as a liaison with the firm’s technology and audio/visual departments and assist in new tech adoption initiatives in support of other duties.
- Assist in responding to attorney questions about training and development resources.
- Assist in other departmental programs and initiatives as needed.
Required Skills
- Bachelor’s degree.
- 3-6 years of experience in a professional services firm, either in training and development, legal personnel, recruitment or other talent management role.
- Outstanding communication skills, both written and oral, including strong attention to detail in all written work.
- Working knowledge of Word, Excel, Outlook and PowerPoint essential, knowledge of legal learning and talent management systems a plus.
- Flexibility and responsiveness, and the ability to thrive in an extremely fast-paced, deadline-driven environment with a client service orientation a must.
- Outstanding interpersonal skills and ability to work effectively with attorneys and staff throughout the firm.
- Familiarity with (or interest in learning) New York State and other jurisdiction continuing legal education rules a plus.
