Essential Duties

  • Preparation of legal briefs, including Table of Contents and Table of Authorities
  • Typing a variety of legal documents from rough and oral drafts; relays instructions to other staff and attorneys as directed by the supervisor
  • Answers telephone calls, transfers calls to the appropriate staff and takes accurate messages in their absence
  • Scheduling of meetings, both in and out of office, or by conference call
  • Opens, sorts and dates all incoming mail and ensures outgoing mail is timely delivered; if necessary routes mail to specific delivery services (messenger services, Federal Express, etc.)
  • Process new client/matter forms and conflict checks
  • Prepare check requests, approvals, invoice processing and payment of same
  • Processes bills for partners after their review when received from finance department (prepare transmittal letters and mailing same)
  • Maintain supervisor’s legal, confidential and administrative files
  • Photocopy and collate documents for mailings
  • Under general supervision, performs responsible and confidential secretarial work and routine administrative duties for attorneys and other related duties as required
  • Take dictation from attorney to prepare correspondence and/or emails and legal documents
  • Format and amend documents using track changes
  • Maintain paper and electronic filing systems for client files, correspondence, and other material
  • Manage emails – print copies of requested incoming and outgoing emails for file and attorneys
  • Assist other attorneys within the group as needed
  • Enter time diaries into DTE
  • Arrange hotel and/or other travel arrangements
  • Must be able to multi-task, both independently and as part of a team
  • Must have excellent grammar, proofreading and English composition skills 

Training & Experience

  • 10 years of legal secretarial experience
  • Tax and property tax appeal background a plus and/or litigation experience
  • Must be organized and detail-oriented
  • Comprehensive knowledge of modern legal office practices and procedures
  • Considerable knowledge of legal document preparation, legal terminology and court procedures
  • Must have excellent computer skills and knowledge of MS Word, Windows, PowerPoint, Excel, Outlook, Worksite, CompareRite, LegalKey, DTE, Chrome River and Interaction
  • Excellent oral and written communication skills
