Corporate Legal Secretary-Temp

Estimated length of assignment: 90 days
Hours: 9:30 – 5:30 (flexibility with shift desired)
Qualifications/Experience
- At least 5 years’ Legal Secretary Experience in a large to mid-size law firm.
- Strong team player. Ability to multi-task and successfully manage at least a 4:1 attorney/secretary ratio.
- Ability to assist multiple partners/associates, legal assistants and other secretaries in a fast-paced team environment. Ability to anticipate and be proactive and prioritize heavy workflow.
Skills Required
- Must have strong intermediate to advanced MS 2010 Suite, Word, Excel, Power Point, Outlook, and current experience with time entry program comparable to Intapp, Chrome River, Elite and ability to transcribe tapes and use a wave pedal.
- Specific technology Word requirement: Edits, proofreads complex documents, black line documents, format documents with cross-references, format tables of contents, mail merge, format tables.
- May be required to attend and organize teleconferences and events
Other applied skills/job responsibilities
- Prepares and assists with closings, including organization of closing room or other area where documents are kept and preparation and management of signature pages
- Creates a closing binder with little supervision
- Effectively manages multiple (large and small complex matters, including maintaining and working with communication and distribution lists, service lists and mailing labels
- Effectively uses department-specific protocols for storing and managing documents and for tracking the status of matters. Proactively follows up on matters as necessary.
- Understands basic Financial Transaction matters, such a debt restructuring, equipment leasing, asset-based credit facilities, commercial finance transactions, renewable energy projects, cross-border transactions, secured and unsecured lending transactions, etc.
- Understands corporate matters such as IPOs, joint ventures, private equity funding and Mergers and Acquisitions, including the due diligence process and Blue Sky work
- Creates and edits stock certificates
- Maintains corporate minute books
- Knowledge of SEC databases and filing materials
