Legal Support Supervisor

Overview

The responsibilities of the Legal Support Supervisor include the facilitation of the administration of his/her respective office, including tasks related to the firm’s administrative departments. The role is also responsible for the staffing and supervision of administrative staff in assigned practice groups.

Responsibilities

  • Oversees support staff workloads to ensure balance and effectiveness; assigns and adjusts professional assistant attorney assignments; provides timely and appropriate solutions to workload issues; manages PTO requests and approves timesheets.
  • Coordinates office space assignments with the Facilities Department and manages file/project workroom space; coordinates staff moves including those related to summer associate arrivals and departures, additions and changes, including equipment.
  • Coordinates staffing when needed for visiting attorneys and administrative staff; facilitates space arrangements for attorneys and staff for short-term visits.
  • Works with Conference Services and any other relevant administrative departments to coordinate events in, or on behalf of, the office. .
  • Coordinates local support staff recruitment needs; monitors and scores typing and spelling tests administered to applicants; conducts first-day orientation with new employees, including obtaining necessary paperwork, provides tour of the office and escorts employees(s) to training room and office/workstation.
  • Monitors administrative staff work performance and workflow and makes recommendations as needed; works in conjunction with the Human Resources Manager to investigate and resolve employee complaints, facilitate counseling meetings, and recommend disciplinary actions when appropriate; prepares evaluations for direct reports and practice group support staff; gathers appropriate input from evaluators.
  • Assists with monitoring and managing office budgets to control costs and use resources efficiently.
  • Coordinates various functions including wellness, staff appreciation and milestone events; maintains Human Resources files and keeps files current.

Qualifications

  • Bachelor’s degree or equivalent experience required.
  • Two years supervisory experience in a law firm or similar environment required. Previous legal secretarial experience or office coordination/management experience preferred.
  • Current knowledge and understanding of federal and state laws and regulations.
  • Working knowledge of Microsoft Word and other Microsoft Office applications preferred.
  • Ability to communicate both written and verbally with all levels of employees and partners.
  • Ability to work well in situations that require diplomacy and confidentiality.
  • Attention to detail, strong organizational skills and the ability to contribute positively to the office culture and morale.
  • Employee counseling and coaching skills.
  • Ability to work well under pressure, see projects through to completion and maintain confidentiality.
  • Must also be resourceful and capable of thinking strategically.
