Overview
Responsible for performing general office support functions such as filing, photocopying, typing, screening telephone calls and other miscellaneous tasks related to Reception, Meetings and Events and other functional areas.
Responsibilities
- Provides reception coverage. Greets visitors; answers and directs telephone calls to the appropriate person and/or department; takes messages if necessary and distributes them through e-mail or voicemail.
- Assists clients/visitors with administrative requests such as copies and scans; prints boarding passes where applicable; assists other departments with mail-outs and distributions as requested.
- Assists Meetings and Events’ department with the maintenance of the conference center and coffee bars; stocks and cleans conference rooms and coffee bars; assists with inventory and schedules various meeting rooms.
- Organizes various types of documents and materials in accordance with specific administrative departments’ needs.
- Provides various support functions, including data entry, proofreading, light correspondence, reports, forms and file maintenance.
- Performs copying, scanning, faxing, compiling and collating as required.
- Performs other duties as assigned.
Qualifications
- High school diploma or equivalent.
- Must have one year general office experience; legal office experience preferred.
- Experience in Microsoft suites specifically Word, Excel, Outlook and Powerpoint.
- Must have good written and verbal communication skills and be able to follow instructions effectively.
- Must be detail-oriented.
- Must have good telephone etiquette and interpersonal skills.
- Must have the ability to follow through on projects.
- Must score 25 wpm with 2% or less error rate on the firm’s legal typing test and 70% on the firm’s legal spelling test.
