As the Litigation Services Coordinator, you will be responsible for performing and coordinating one or more major functions of the Managing Attorney’s Office and for providing support for all other functions as needed. Among the functions performed and coordinated are assisting with the calendaring and monitoring of active cases; court services and court filings; legal research and analysis; and litigation records, bar and court admissions. This position will be staffed from 4 pm to 12 am, Monday through Friday, and will include other essential duties:
- Provides a wide array of general litigation support functions for Firm attorneys, staff, and clients, including but not limited to:
- Assists in active litigation case management, with tasks including but is not limited to docketing of all contested matters utilizing a database such as MA3000 or CompuLaw, culminating in the weekly publication of a firm-wide litigation department calendar, monitoring case status through manual and electronic means and insuring the timely retrieval of decisions and orders in all Firm matters;
- Coordinates court admissions for the office, communicates with attorneys and secretaries regarding data collection and verification process and coordinates workflow for addressing incoming and departing attorney admissions;
- Drafts basic legal documents, including but not limited to Notices of Appearance, Pro Hac Vice Motions and Affidavits of Service.
- Handles all administrative responsibilities and duties relating to calendaring.
- Coordinates and assists with general litigation services, which may include some or all of the following: retrieves and files of court documents in paper and electronic form using firmwide and court docket databases, obtains exemplars and templates of documents filed in court in response to attorney/staff requests for precedent and performs basic research utilizing online databases and legal search engines.
- Electronically files a wide range of court papers and stays current in the nuances of electronic filing rules to ensure successful submissions. Coordinates with court personnel and process servers as needed.
- Responsible for knowledge of e-filing protocols in all courts relevant for the office’s litigation practice and for maintenance of electronic court filing (ECF) passwords.
- Assists with special projects on various issues as needed, with a primary focus on streamlining processes by effectively collaborating with other departments and offices.
- Promotes effective work practices and works as a team member in support of all Firm employees.
- Completes various projects as needed.
As the Litigation Services Coordinator, you will be expected to apply your organizational and communication skills while displaying a positive, high-energy attitude and a solid attention to detail with a focus on customer service. The successful Coordinator must possess strong leadership, organizational, communication and time management skills needed to interact effectively with people at all organizational levels of the firm as well as the confidence and discipline to work independently and provide concise and specific recommendations to attorneys, supervisors and staff. He or she must also possess knowledge and proficiency in PC applications and other programs such as calendaring, e-filing and CompuLaw is necessary to complete thorough analyses and reports. The Coordinator will display the advanced ability to perceive and analyze problems and develop alternate strategies to solve them while exhibiting solid attention to detail and the ability to handle confidential and sensitive information with the appropriate discretion.
A Bachelor’s degree and at least three (3) years of relevant law firm, court or other related experience is required. One (1) to two (2) years of experience in a law firm docket department is desired. A J.D. or other relevant background may be considered in lieu of the above.
