Secretarial Services Manager

The Secretarial Services Manager oversees the day-to-day operations of the secretaries, word processing staff and receptionists, and provides leadership across the corporate campus as it relates to the staffing, development, and management of staff, workflow and processes in the areas of secretarial support, word processing and reception. This person coordinates and manages assignments to maximize utilization of resources and achieve service excellence. The incumbent exhibits management experience, flexibility to work with people at all levels of the organization and sound interpersonal skills.

Essential Job Requirements

  • Coordinate and manage workflow of secretarial, word processing and reception services to maximize utilization of resources and achieve service excellence.
  • Enhance efficiency and productivity using current staffing ratios as a performance metric.
  • Perform all necessary supervisory functions to effectively and efficiently manage the personnel and functions assigned.
  • Motivate, supervise and evaluate staff.
  • Determine standards of performance as a basis to review progress.

The Ideal Candidate

  • A minimum of 10 years of practical legal secretarial experience in a law firm.
  • Preferably 5 years of secretarial supervisory or coordinator-level experience in a mid- to large-sized firm, including the responsibility for coordinating workflow.
  • Familiarity with general processes, systems, philosophies, structure, methods and approaches of mid- to large-sized law firms.
  • Experience with supervising, coaching and developing staff.
  • College degree preferred; commensurate amount of experience acceptable.
  • Excellent communication (verbal and written), interpersonal and follow-through skills.
  • Position continually requires demonstrated poise, tact and diplomacy. Must be adept in communicating sensitive information.
