Docket Specialist

Department: Managing Attorney’s Office

Reports to:  Managing Clerk and Managing Attorneys

Summary

Supervises and maintains Firm’s internal docket (historical record of incoming and outgoing court and litigation papers).  Computes and calendars, and supervises computation and calendaring of, corresponding due dates and other deadlines on Firm’s computer docketing system.  Alerts Firm litigation attorneys and legal assistants to issuance and receipt of court orders, notices and other litigation papers and to impending deadlines.  Coordinates above functions with other Docket Clerk(s).  Overall responsibility for production and publication of weekly litigation tickler reports for Firm attorneys and legal assistants. Conducts efiling of court papers to constitute both filing and service of litigation papers in electronic filing courts.  Serves and files litigation and other court papers in New York City metropolitan area on as-needed basis. Responds to requests for online case research, document retrievals and case monitoring and forwards reports and notifications. 

Relationships

  • Reports directly to the Managing Clerk and Managing Attorney. Coordinates and supervises work of other Docket Clerk(s).  Interacts regularly with Firm legal staff and court personnel. 

Responsibilities

Primary

  • Maintains, and supervises all docketing performed in, Firm docket (historical record of service and filing of court and litigation papers) on computer docketing system.
  • Computes and calendars, and supervises computation and calendaring of, corresponding due dates and other deadlines on Firm’s computer docketing system.
  • Overall responsibility for production and publication of weekly tickler reports for Firm legal staff.
  • Notifies Firm attorneys of impending due dates and other deadlines.
  • Monitors the status of the Firm’s cases in courts (e.g., status of pending appeals, etc.).
  • Promptly alerts Firm litigation attorneys and legal assistants to issuance and receipt of court orders, notices and other litigation papers from courts and litigation adversaries.
  • Conducts efiling of court papers to constitute both filing and service of litigation papers in electronic filing courts. This task requires in depth knowledge of applicable rules and procedures, and exercise of judgment.
  • Inputs information from docket system into outside vendor databases for case monitors and other functions.
  • Promptly alerts Firm attorneys and legal assistants to reports of activity in monitored cases.
  • Coordinates above functions with other Docket Clerk(s).
  • Responds to requests for online case research, document retreivals and case monitoring and forwards reports and notifications.
  • Alerts supervisors and Managing Attorney of any matters that require their intervention.
  • Remains current on the status of the Firm’s New York office litigation cases.

Secondary

  • Serves as backup to other NY and DC MAO staff as needed. 

Specifications

Education

  • College degree required.

Experience

  • 5+ years docket clerk experience. Experience with MA3000 docket system or equivalent, federal CM/ECF e-filing system, and NYSCEF e-filing system.

Skills and Abilities: 

  • In-depth knowledge of New York Civil Practice Law and Rules (CPLR) and Uniform Rules, Federal Rules of Civil Procedure and other federal procedural rules, local court rules, local courts clerks’ offices practices and procedures, and NY state and federal electronic case filing rules, guidelines and procedures. Effective verbal and written communication skills, professionalism and integrity.  Ability to use independent judgment, problem solve and juggle multiple tasks.  Must be organized and detail oriented.

  • All positions require punctuality and regular attendance.  

Technological Skills

  • Proficiency with various software programs such as the MA 3000 docket system, CM/ECF and NYSCEF e-filing systems, Outlook, Word, CourtAlert, CourtLink, Courthouse News Service, and use of the Internet.
