Legal Executive Assistant

Overview
Large, global law firm is looking for a Legal Executive Assistant to support the Government Contracts Practice Group, including senior partner, two counsel, a mid-year associate and a first year associate. This position requires someone who is extremely organized and has the ability to prioritize and multi-task. Qualified candidates will be polished and professional and have excellent client-facing skills.
Responsibilities
- Familiarity with Government Contracts law, bid protests through the Government Accountability Office (GAO), General Services Administration Board of Contract Appeals, complex litigation
- Prepare and edit legal documents, correspondence, memoranda (iManage Content Management System a plus); scan and organize documents using Adobe Acrobat Pro; various court and agency hard copy and e-filings
- Prepare and maintain litigation binders
- Ability to takes notes from dictation and produce first draft of document or correspondence
- Coordinate and schedule appointments, conferences and attorney/client meetings
- Responsible for opening new matters, submitting conflict checks, timely billing and collection activities
- Coordinate travel and submit expense reimbursements in a timely manner; coordinate distribution of sporting event tickets; work with Accounting and Marketing to keep practice group budget up-to-date.
- Answer and direct telephone calls
- Input attorney time charges into the automated tracking system (Carpe Diem)
- Direct and sometimes independent client contact
- Maintain electronic and paper client files
- Assist other support staff with administrative tasks – team oriented office
- Additional duties as assigned
Qualifications
- Superior technical skills in Microsoft Office Suite 2010
- Excellent proofreading and strong organizational skills, and ability to multitask
- Discretion and confidentiality essential
- Excellent communication and interpersonal skills
- Positive, pro-active, professional and polished attitude with the ability to perform without supervision
- Ability to manage multiple requests, assess priorities, and achieve solutions under deadlines
- Ability to work overtime as needed
- Minimum 2 years’ experience in the law firm environment
