Project Management Office (PMO) Analyst
Summary
Position reports into the Manager, Project Management Office (PMO). The Project Management Office Analyst in the Global PMO will be responsible for managing the day-to-day operational activities for implementing functionalities, updating information, maintaining, governing, and deploying changes to the Project Portfolio Management Tool (PPM) and the Legal Project Management (LPM) Tool. He/she will work with the PPM and LPM tools to administer requests for managing projects and for managing matters. In addition, he/she will help to execute strategy for improving the process of managing projects and managing matters.
Key Responsibilities
- Coordinate requests for new functionalities and changes to the Project Portfolio Management and the Legal Project Management tools.
- Develop new functionalities and build reports and dashboards in both tools.
- Assist the Global Head of LPM in handling and setting-up requests for managing matters in the LPM tool.
- Work with vendors of the PPM and LPM tools to communicate requests for enhancements or escalation for critical product defects.
- Generate, update and improve project and matter management strategies and methodologies.
- Produce reporting and presentations for the GPMO portfolio meetings with senior leadership.
- Work under the leadership of Project Managers in handling daily activities when necessary, such as:
- Plan and schedule project timelines and milestones using appropriate tools.
- Track project milestones and deliverables.
- Develop and deliver progress reports, proposals, and requirements documentation.
- Take meeting notes on large projects/programs.
- Ensures that the Project Management Office and Legal Project Management processes are kept up to date.
- Update/edit the GPMO templates and process & procedure documentation based on changes to improve the project management process and feedback from the project managers on the team.
Knowledge, Skills & Attributes
- Previous work experience in an established Project Management Office or worked within a Project Management Department.
- Excellent communication and interpersonal skills.
- Critical thinking skills and ability to work under pressure.
- Organized approach to solve problem with good decision- making skills Comprehensive knowledge of using and implementing PPM tools.
- Ability to work independently and as a team member.
- Strong time management and organizational skills.
- Multi-tasking skills and ability to meet deadlines.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, MS Project, Visio).
Education & Experience
- Bachelor’s Degree in Business, MIS, Computer Science or similar.
- At least 3 years of solid experience.
- PMP preferred, but not required.
