Summary
Working with the Firm’s Senior Manager of Marketing Services, the Manager of Marketing Services is responsible for providing marketing services/operations support for all attorneys and internal Marketing and Business Development teams (including, but not limited to, the Firm’s brand identity, website, and the Firm’s CRM tool (InterAction v6.2, “BusinessBook”).
They will also assist in project managing certain key marketing and business development initiatives and ensure they are delivered by all relevant parties effectively and efficiently. This relates in particular to the Firm’s CRM system to ensure the successful sharing of contacts and active client development by attorneys as well as integrating with the Firm’s other systems. He/She will manage the overall website, including data reporting; closely monitor’s the marketing and business development department’s annual budget, including reviewing invoices and the monthly ledger.
Relationships
The Manager of Marketing Services will report to the Senior Manager of Marketing Services and will provide day-to-day hands-on guidance, mentoring, and oversight to staff of the marketing services team. He/She will work collaboratively and seamlessly with his/her colleagues within and outside the Marketing and Business Development Department and across all legal and non-legal staff and maintain close working relationships with all Marketing Services vendors.
Responsibilities
Marketing Services Team
- Responsible for the day-to-day operations of the Marketing Services team, including, but not limited to, supporting the overall Firm strategy, brand identity, graphics, marketing collateral, website management and reporting, client (internal and external) relationship management, with attorneys, and other departments, and department budget, contract review and maintenance.
- Develop, manage and motivate the marketing services team. Ensure collaboration across the team, within the department and with the Firm’s practices. To include: clarifying direction, encouraging quality standards, performance evaluations, providing regular feedback and developing a team training program.
- Manage the overall memo process from assigning each client memo/alerts to reporting on the metrics of each memo as well as developing templates and providing technical support and guidance to the client memo working team.
Develop and Manage the Firm’s Brand Identity
- Working closely with all relevant departments and areas of the Firm, he/she will ensure that internal and external communications are consistently aligned with the Firm’s brand identity, from creative design to inclusion of key messages. The Manager of Marketing Services will integrate a global image for the Firm brand and will tailor the brand to address market/cultural needs and sensitivities.
- Ensure brand identity is clear and consistent on all materials, printed and electronic and is refreshed as needed.
- Maintain and promote the Firm’s online presence. Accountable for overall website maintenance, online tracking, reporting and visibility enhancement initiatives.
- Review competitors’ brand identities to ensure we are current on our design, technology and messages.
- Keep the Marketing Department appraised of new electronic communications tools and strategies that reduce need for printing and improve ability to reach clients and other constituencies.
Client Relationship Management (CRM)
- Support the advancements to BusinessBook including, but not limited to, best practices and integrations with the Firm’s other systems to create a powerful and robust business development tool.
- Constantly review and update current integrations with the Firm’s systems to ensure the CRM system (BusinessBook) is a robust Business Development database that reflects the Firm’s goals and strategies.
- Continue to drive the roll-out of BusinessBook across the Firm by creating a process where attorneys can easily and seamlessly share their contacts and their business development activities with the database.
- Manage contracts and relationships with outside vendors, including Stanton Allen. Ensure that projects remain on budget and that each project is managed to a clear timetable.
- Work closely with other support departments and act as an “ambassador” for marketing to ensure that internal communications of the project are clear and understood by all relevant parties.
- Oversee the continued quality control of our data and that best practices are followed at all times within the marketing services team and other relevant members of the firm.
Qualifications
Education: A 4-year College Degree required, advanced degree preferred.
Experience: Must have at least 5 years of hands-on CRM and branding experience, and 4-5 years of staff management within a large professional services firm or corporate environment, Marketing Services/Operations and law firm experience a plus.
Skills and Abilities: Must have strong attention to detail; ability to communicate effectively with attorneys, professional level staff, and peers; ability to act in a professional manner at all times; ability to act with a high degree of integrity and maintain confidentiality; ability to handle and prioritize multiple assignments; ability to work under pressure with interruptions and tight deadlines; ability to collaborate and develop consensus with peers. Must be versatile and able to switch from project lead to project assistant as demands of particular assignments require.
Job Specific Skills: Essential is the ability to demonstrate a solid understanding of branding, brand management, project management, database oversight and knowledge of system integration, and graphic design.
Technological Skills: Experienced in using Office Suite required, database knowledge a plus, full array of graphic design technology and software preferred.
