Client Service Representative/Reception

M-F 11am-7pm

Reports to: Operations Manager

Summary

Provide courteous and efficient service to both internal and external clients, visitors and vendors. 

Principle Duties and Responsibilities

  • Assists with general administrative and general office assistance. Performs opening and closing procedures.
  • Reviews Visitor Registrations and conference room reports to ensure working knowledge of all visitors, meetings, conferences and events.
  • Answers the telephone in a timely manner, takes complete, accurate messages and treats all external and internal clients professionally and with courtesy.
  • Maintains general neighborhood information at client service centers and reception to provide visitors with general information.
  • Coordinates with other Client Service Representatives to cover breaks, lunch hours, and PTO.
  • Ensures that all visitors are announced and escorted as requested to conference rooms in a timely and professional manner.
  • Receives and responds to visitor office requests.
  • Receives and responds to facilities requests and complete the request by entering into Assyst.
  • Assists Operations Department with special requests and assignments.
  • Assumes additional responsibilities as assigned.
  • Reports suspicious visitors to Operations and Building Security.
  • Contributes to the Firm’s Service Excellence initiative to consistently improve its image internally and externally. Displays professionalism, quality service and a “can do” attitude.

Qualifications

  • Professional or corporate experience preferred.
  • Excellent oral and written communication skills.
  • Excellent interpersonal and organization skills.
  • Pleasant and courteous manner.
  • Business attire required.

Education

  • High School Diploma or GED required. Two year college degree preferred. 

Experience

  • Prior professional or corporate experience is highly desirable.
