Assistant, Global Diversity & Social Responsibility
Responsible for supporting the development and implementation of the Firm’s Global Diversity and Social Responsibility initiatives.
Primary Responsibilities and/or Essential Functions
- Organize, execute and provide administrative support for global diversity and social responsibility programs and events including assistance with scheduling meetings, events, managing conference room reservations, catering orders, guest lists, etc.
- Maintain and analyze diversity HR data and metrics (women, people of color, LGBT) for external and internal audiences.
- Maintain and update all communications materials on various mediums on an on-going basis including all email distribution lists, Portal, external website, client surveys, RFP’s, and PowerPoint presentations.
- Provide administrative support for Firm Pay It Forward and other community service initiatives including mentoring programs.
- Manage multiple projects including communications and marketing collateral, philanthropic sponsorships, diversity training rosters and evaluations, maintaining Committee meeting minutes and agendas, travel arrangements, reimbursements and invoicing for the Global Diversity & Social Responsibility team.
- Serve as a collaborative member of the Attorney Programs and Resources team liaising with Legal Personnel, Legal Recruiting, Practice Management, Professional Development and HR on an on-going basis.
- Additional responsibilities as needed.
- Regular overtime required.
Knowledge, Skills & Abilities
- 2+ years of experience in desktop application, project management, administrative services and program management.
- Must have a passion and interest in diversity and inclusion.
- Must have an interest in event planning and in providing administrative support.
- Individual must be organized and be able to work efficiently and independently.
- Must be able to communicate effectively and handle conflicting priorities that are of a highly confidential nature.
- Excellent grammatical and written skills.
- A flexible team player with a client service orientation and the ability to work well under pressure in a fast paced environment.
- Excellent organizational and project management skills.
- A track record of proven good judgment.
- Ability to make decisions quickly and take initiative is essential.
- Strong Word, PowerPoint & Excel skills for data entry and analysis necessary.
- Knowledge and experience with statistical analysis, creating pivot tables and charts with Excel.
Education/Certifications
- Requires minimum of a 4-year degree or equivalent experience.
Other info – Here’s some other information that may be useful for recruiting:
- Analytics/Excel. We are looking for someone that will have superior excel and analytical skills. Candidates that have done pivot tables, reporting, and v look ups are preferred. Candidates that have HRIS or HR analytics experience with excel and technical skills are strongly preferred.
- Event planning. The person should be interested in planning events and all the logistics involved with it.
- Strong general admin skills – candidate understands what it means to be an administrative assistant. No qualms about administrative work, i.e. keeping track of department calendars.
