Legal Secretary/Word Processing-Second Shift

Job Description
Perform routine clerical, secretarial and administrative work in word processing, preparing outgoing mail, providing attorney assistance, data processing, and record keeping.
Essential Duties and Responsibilities
- Respond to incoming administrative tasks, especially after regular business hours.
- Answering and screening telephone calls for attorneys
- Document production and editing utilizing Windows7, Microsoft Office 2010 (Word, Excel and PowerPoint), Microsoft Outlook, Nuance PDF Converter, Adobe Acrobat, Best Authority, Elite Webview and similar software.
- Assist with document conversion and clean up; create and revise complex legal documents adhering to Firm styles and guidelines.
- Printing complex documents
- Facilitate the creation and edition of Tables of Authorities and Tables of Contents using Legal MacPac
- Entering Attorney time
- File expense reports
- Prepare outgoing mail and sorting incoming mail, prepare express delivery packages.
- Data entry utilizing various softrware applications and/or transcription of analog or digital dictation
- Perform some duties of department secretary when requested or required by department operations.
- May be assigned coverage of a particular secretarial absence
- Other duties as assigned
- Education: Graduation from high school or GED equivalent with specialized course work in general office practices such as typing, filing. Minimum of 5 years law firm secretarial experience.
Skills and Abilities
- Intermediate knowledge of multiple software: Microsoft Office, DM System, Windows 7
- Ability to multi task
- Strong Customer Service Skills
- Ability to effectively meet and communicate
- Ability to make independent judgments which have minor impacts on the organization.
- Notary Public preferred
