Benefits Assistant
Reports to: Global Director, Benefits and Compensation
1) Position Summary
Administrative Position providing clerical support to the Global Director of Benefits, Employee Relations Director of Americas and Benefits Department staff, including assisting in department mailings and email notifications, and supporting Open Enrollment process and retirement plan administration.
2) Duties and Accountabilities
- Administer the Voluntary Benefit programs, including:
- College Savings – Assist employees with any questions they have regarding the program. e. enrollment, payroll deductions, withdrawals
- Back-up Child Care –Review US and London utilizations to ensure proper billing. Liaison between Bright Horizons and employees
- College Coach – Review utilization report and liaison between College Coach and employees
- Colonial Critical Care – Coordinating enrollment meetings, review bills, and liaison with employees.
- Liberty Mutual Auto/Home –Point of contact between employees and Liberty Mutual for billing discrepancies, payroll issues, etc.
- WageWorks Commuter/Adoption Assistance – Liaison between employees and WageWorks, run Monthly Commuter Payroll file.
- Process and track invoices for Benefits/Retirement and HR to People Invoices for payment
- Coordinate and track HIPAA training for new employees
- Maintain and update vacation, sick and personal days for all members of the Global Benefits Department
- Coordinate internal meetings and conferences for department and Directors’, i.e. request Rooms, necessary equipment(s) and refreshments
- Coordinate training (webinars, teleconferences, seminars) for all members of the department
- Coordinate travel arrangements and make reservations for all members of the department and Director’s
- Process Expense Reports for all members of the Benefits Department; review Directors’ American Express Corporate card for Firm charges, request and process International Cash Advances and submit to Accounts Payable for payment
- Respond to routine benefits questions and supply employees with requested materials and/or forms
- Type, draft and edit correspondence for Directors
- Perform other duties and projects as required
3) Supervisory Responsibilities

4) Additional Responsibilities
- Answer and screen calls for Global Director Benefits and HR Americas Director
- Open and distribute mail
- Coordinate renewals of online publications and memberships
5) Qualifications
- Knowledge of Word, Excel and PowerPoint
- Good organizational and interpersonal skills
- Able to communicate effectively, good verbal and written skills
- Proper telephone etiquette
- Must be able to handle multiple projects in a fast paced environment
- Ability to communicate with all levels of management and partners
