Business Development Proposal Coordinator/Specialist

Job Description

Schedule will be Tuesday-Friday 1-9pm, and Saturday from 9am-5pm.

The Proposal Coordinator/Specialist will provide project management oversight of legal directory submissions, support of all relevant databases and timelines, and participate in the generation of pitches and responses to requests for proposal issued by clients and potential clients. The Proposal Coordinator/Specialist will help drive the preparation of high revenue proposals in collaboration with two Business Development Proposal Managers and will contribute to significant departmental presentations and client facing collateral.

The Proposal Coordinator/Specialist will also be vital to the development of legal directory submissions. This role will manage the submission process, including the development of timelines and tracking devices for all phases of the legal directory submission season (Chambers and The Legal 500). The Proposal Specialist will provide quality control for submissions; create year-on-year rankings and peer firm analyses.

A key member of the Pitch Team, the Proposal Coordinator/Specialist will be integral to pitch preparation, including document drafting, graphic work, editing, project management and in-depth research. Research efforts will offer a concrete grasp of the client or opportunity, industry and market context. An understanding of and appreciation for document design and its impact are key.

Responsibilities

  • Provide key support to the directory submissions process and other content-driven projects.
  • Manage, support and drive content into the Matter Intelligence System i.e., monitor submission content and facilitate the inclusion of well-written content with consistent taxonomies into the Matter Intelligence System.
  • Draft, propose, produce and edit proposal content that is client-centric, responsive, accurate and persuasive, and regularly coordinate with practice team assistants to ensure all requirements are being met.
  • Assist in the firm-wide proposal generation process, serving as a key resource in the management and submission of RFP responses.
  • Manage the development, completion and on-time delivery of those RFP responses he or she quarterbacks.

Required Skills

  • Bachelor’s degree and at least three years of experience within a legal marketing or professional services team.
  • International law firm or other professional services firm experience is required; working with proposals and submissions is essential.
  • Possess proven writing, editing, formatting and proofreading skills as well as strong presentation and interpersonal skills.
  • Facile with legal terminology and ability to digest complex communications.
  • Advanced Microsoft Word, Excel, and PowerPoint is required.
  • In addition, the individual must be:
    • A master at multi-tasking and have the ability to keep multiple responsibilities on track and moving forward,
    • Collaborative, analytical and deadline-oriented,
    • Positive and have a strong work ethic as this role is at the epicenter of the business development function,
    • Extremely organized and able to manage projects and process,
    • Extremely detail-oriented and have excellent verbal and written communication skills,
    • Self-motivated; resourceful and able to work with time-sensitive information with minimal supervision.
  • The work will require a non-standard shift and overtime as needed to meet deadlines.
