Retirement Benefits, Assistant

  • Weekly 401(k) filing
  • Process Compensation Reduction Agreements on HRIS and verify correct form and accuracy of information submitted by the participant
  • Audit biweekly Payroll changes
  • Bi-weekly confirmation of 401(k) wires
  • Download daily Loan Reports and forward to Payroll
  • Review delinquent loan reports
  • Prepare memo for Accounting for payment of quarterly partner loans
  • Obtain annual report for terminated participants age 65 and process letters with follow-up
  • Download and audit Monthly Check Register from Wells Fargo
  • Enroll/terminate participation in Plans in HRIS
  • Maintain beneficiary information within HRIS
  • Create new participants files
  • Track participants on leave of absence
  • DVP Distributions via e-mail and coordinate mail distribution with Pitney Bowes representative
  • Conduct Orientation, including preparation and maintenance of Orientation materials
  • Conduct Exit Interviews
  • Update Fund Investment Results on the Intranet and Enrollment booklets
  • Update Quarterly Fund Fact Sheets on the Intranet
  • Update address for terminated participants in HRIS and at Wells Fargo
  • Download various adhoc and quarterly reports from Wells Fargo as well as monthly brokerage reports
  • Process unclaimed check reports for 401(k) Plans
  • Request and review invoices from broker and prepare memos to Accounting for monthly SRP insurance payments
  • Annual collection of  IRA contribution checks and processing
  • Distribute Partners composite statements
  • Distribute Statements to Financial Advisors
  • Provide monthly balances for certain partners to Financial Advisors
  • Arrange quarterly Investment Committee meetings in coordination with the investment advisor
  • Prepare check requisition for all vendor invoices
  • Arrange semi-annual Wells Fargo Information meetings
  • Warehouse files and maintain Business Continuity files
  • Assist Director and Manager on special projects as needed

Skills and Specifications

  • Excellent knowledge of office practices and procedure
  • Excellent computer skills MS-Word, MS-Excel, MS-PowerPoint, MS-Outlook & Calendar
  • Knowledge of 401(k) plans and/or pension plans
  • Familiarity with HRIS systems
  • Excellent organizational and detail-oriented skills and ability to follow through
  • Effective communicator verbally as well as written
  • Take charge initiative and the strong ability to multitask
  • Ability to adapt to changing requirements and/or competing priorities
  • Ability to work and think independently
