Director of Operations

Reports to: Chief Administrative Officer

With general to minimal supervision, provides leadership, support and training to the Boston based Operations staff.  Directs the Boston office operations in all areas of office services including: property and space resource management, leasehold modifications, facilities management, furniture, and general office supplies.

Along with the Washington, DC office Operations Director and the various individual Office Administrators, work with the Chief Administrative Officer (“CAO”) on firm-wide initiatives. Assist with proactively supporting firm-wide client services programs, including the Firm’s Service Excellence initiative.

Assists with proactively supporting client service by actively participating in the Firm’s Service Excellence initiative. Ensures that staff members are providing highest quality service to internal members/departments of the Firm as well as external clients and vendors by displaying professionalism via electronic and print correspondence, over the telephone and in-person and by encouraging an atmosphere that rewards a proactive and “can do” attitude.

Principal Duties and Responsibilities

  • Directs and provides leadership to the Boston Operations Plans and delegates work and makes decisions regarding employment, training and development, performance evaluation and related staff issues. Makes recommendations regarding salary adjustments and performance bonuses.
  • Directs site managers for outsourced services, including office services and the fitness center. Works with site managers to ensure the firm’s needs and expectations are met.  Oversees vendor performance and contracts and participates in negotiations upon contract expirations.
  • Assists in the procurement of all goods and services, capital equipment, supplies, furnishings, general equipment and maintenance services and repairs in association with the firm’s Procurement Policies and
  • Provides assistance and make recommendations to the Chief Administrative Officer in areas of property management and leasehold improvements (including architecture and design services). Acts as a liaison with building management in all areas involving occupancy in the Boston location.
  • Directs policies and procedures governing vendor and firm provided services, including, but not limited to, security services, office cleaning and maintenance services, daycare, and fitness c
  • Prepares annual operating and capital budgets for the Boston Operations department; develops operating forecasts and maintains department spending within approved budget lim
  • Oversees the purchasing function for most office supplies and equipment and ensures compliance with purchasing policy.
  • Prepares bid packages for all major purchases of goods and services, reviews and analyzes responses and participates in the selection of providers.
  • Oversight of construction Periodically reports to the Chief Administrative Officer on the various activities assigned regarding the project. Assists in the preparation of communications and presentations to Management and the Firm regarding the construction project.
  • Provides assistance and advice and complete special projects and analyses for the Chief Administrative Officer and/or Firm Management as requ Responsibility for firm wide assignments, projects and specific contracts as directed by Chief Administrative Office.
  • Keeps abreast of trends and developments impacting the field of operations, including new strategies and program
  • Works closely with the Boston Partner-in- Charge to ensure smooth and efficient management of the office.

Knowledge/Skills/Abilities

  • Excellent communication, negotiation and leadership
  • A team player, active listener and well versed in workplace efficiency.

Education

  • BA/BS required.

Experience

  • 7+ years’ experience in an office services/facilities senior management position, with demonstrated knowledge of mailroom operations, facilities management and facilities management vendors, purchasing and procurement, space planning, food services and conference and meeting planning and construction s
  • Law firm or professional services firm experience required.
