Benefits Coordinator/Analyst

Monday-Friday, 9:30 AM to 5:30 PM

Essential Duties & Responsibilities

Under the supervision of the Benefits Supervisor, the Benefits Coordinator/Analyst answers employee and partner questions and resolves issues as they relate to benefit plans and policies.  Processes benefits transactions, acts as a liaison to vendors and communicates benefits policies and procedures to employees through group orientation and individual meetings.

  • Conducts benefits orientation for all administrative employees in the New York office and processes ongoing benefits enrollment; assists with annual testing of data in preparation for benefits open enrollment; acts as the benefits liaison for the coordinate office managers.
  • Works with benefits team to assist active and retired employees with health, dental, and insurance claims resolutions.
  • Reports data to vendors for benefits and COBRA administration and audits the same. Reconcile payments and billing.
  • Manage termination process for employee benefits.
  • Provides backup assistance to the Pension Administrator for administration of the defined contribution plans provide support for preparation of the annual documentation required for the cash balance plan discrimination testing, plan audits, 5500 preparation, audit employee/partner eligibility and contributions for 401(k)/and partner DC plan, audit eligibility for employee retirement plans.
  • Provides back-up assistance for long-term care insurance, commuter benefit programs and supplemental disability programs.
  • Administers and counsels employees or managers regarding leaves of absence processes for all offices. Works with managers and employees to determine employee eligibility in relation to statutory sick leave, FMLA, STD, LTD, ADA and reasonable accommodations, WC and other firm approved leaves.  Ensures that all records and updates are properly documented and communicated to the necessary personnel.
  • Administers the Firm’s salary continuation program.
  • Monitor and communicate with the employees regarding FSA forfeitures for year-end.
  • Enter/Review benefits enrollment and change data in HRIS system and review documentation.
  • Monitor and review benefit enrollment in Workday; audit reports.
  • Assists with compliance under Health Care Reform, ACA reporting, ERISA, HIPAA, FMLA, ADA and other benefit related policies and statutes.
  • Comply with, create, maintain and use appropriate physical, electronic and procedural safeguards to guard Protected Health Information (“PHI”) maintained by the Firm is in full compliance with HIPAA and other applicable rules and regulations. This includes restricting access to PHI to those employees who need to know the information and obtaining PHI only after receiving written authorization by the covered individual; provide training to all benefits employees, supervisors/managers, and the HIPAA Privacy and Grievance Officers.
  • Prepare benefits billing report for active and retired partners.
  • Participates in the preparation of the health plan 5500’s.
  • Document and report Work Related incidents and injuries, prepare annual OSHA and Workers Compensation filing when required.
  • Other responsibilities as they may be assigned from time to time. 

Education and Experience

  • A Bachelor’s degree is required, preferably with an emphasis in Human Resources or related field. An advanced degree in Benefits Administration or Human Resources or a professional benefits certification is preferred.
  • A minimum of 3-5 years of benefits administration experience. Working knowledge of qualified plans, self-insured health plans, FMLA and other mandatory leave plans,  and other benefits plan is required.
  • In-depth knowledge of Excel, Word and HRIS systems (preferably Workday).
