Office Services Specialist

Summary
The Office Services Specialist is responsible for supporting daily office operations including reprographics, mail services, conference coordination, and supply management within a law firm or service-oriented environment. This role requires a dependable self-starter who upholds high standards of confidentiality and professionalism.
Duties and Responsibilities
- Perform, complete and deliver duplicating and reprographics projects (printing, copying, binding, scanning).
- Sort and distribute incoming mail and deliveries.
- Prepare and process outgoing domestic and international U.S. mail and courier packages (FedEx, UPS, DHL, or etc.).
- Coordinate messenger services with selected vendors.
- Utilize and run reports in our workplace management software to provide conference center support while coordinating with Client Services on a continuous basis regarding conferences, visitors, and events.
- Maintain office supplies inventory in neat, orderly fashion. Flags and reports when items are running low.
- Maintain outgoing shipping supplies, account funds on Stamps.com, and manage tracking spreadsheets of incoming/outgoing courier packages.
- Ensure all equipment and software is properly functioning in the office services center.
- Assist with Records Management and Hospitality Services.
- Conduct move projects, as needed.
- Perform back-up reception as well as other duties and projects, as needed.
- Uphold high standards of confidentiality, discretion, and integrity, particularly with respect to all sensitive and/or confidential firm and client information to which this position will have access.
Requirements
- 2+ years’ experience in law firm or other service-oriented environment; High School Diploma required, BA/BS preferred.
- Excellent written, verbal, organizational, technical and interpersonal skills.
- Ability to sit, stand, work in confined spaces, lift and move up to fifty pounds, and use various hand tools.
- Strong customer service skills; Must be responsive, reliable, and a self-starter with minimal supervision.
- Ability to work under pressure, facilitate solutions, multi-task, and work independently and as part of a team.
- Adhere to timely and regular attendance; flexible to planned (and sometimes unplanned) overtime.
Compensation: $50,000.00-$62,000.00, plus overtime and bonus
